## Summary

An accounts receivable AI agent works through the replies customers send about unpaid invoices: it captures promises to pay, reads remittance advice, flags disputes and prepares the next step. A person approves each step, or pre-approves the routine ones, so nothing commits you without a decision.

- **Results:** Among the first businesses to use Paidnice's AI agent, DSO fell by 70% on average after 3 months. The best, a professional services business in Australia, went from 37 days to 6.
- **Three kinds of agent:** One writes the reminders, one reads the replies, and one is your own assistant, such as Claude or ChatGPT, connected to your AR data.
- **Roll it out over 30 days:** Start with sending held, review real drafts, then pre-approve low-risk actions such as logging promised dates one type at a time.

Your reminders went out on Monday. By Wednesday the replies are in: payment dates, a request for a PO number on the invoice, a note that the goods arrived damaged, and a bounce from someone who left the company. Each reply changes what should happen next, and each one is sitting in an inbox.

Here is what AI agents do in accounts receivable, the three kinds you can buy or connect, a 30-day plan to switch one on safely, and a scorecard to test any agent in a demo.

## What do AI agents do in accounts receivable?

AI agents in accounts receivable read what customers send back about unpaid invoices, work out what each message means, and prepare the next step in your AR tool and accounting software. What the tool may read in your ledger is set by its permissions, as in [NetSuite](https://www.paidnice.com/blog/netsuite-ar-integration-security) and [Business Central](https://www.paidnice.com/blog/business-central-ar-integration-security).

A reminder schedule sends the next email when a date passes. An agent acts on what the customer said. The jobs an AR agent takes on:

- **Two-way chasing and promises to pay:** logs the date a customer gives and drafts the answer.
- **Remittance advice:** reads payment details from the email text or a PDF attachment, logs which invoices the payment covers and the payment date, and holds reminders on them while the payment is on its way.
- **Dispute triage:** records the reason, holds reminders on the invoice and hands it to an owner.
- **Invoice fixes:** adds a missing PO number and sends the invoice again.
- **Contact changes:** updates who gets reminders when a reply names a new accounts payable contact.
- **Reminder writing:** writes each reminder from the invoice and the customer's payment history.

## What results do businesses see with an AR agent?

Businesses using an AR agent get paid faster: among the first businesses to use Paidnice's AI agent, days sales outstanding (DSO), the average number of days they wait to get paid, fell by 70% on average after 3 months.

**From 37 days to 6 days.** The best result came from a Paidnice customer in professional services in Australia: its DSO fell from 37 days before the AI agent was switched on to 6 days 3 months later.
Original dataSource: Paidnice customer results. See DSO after switching on the AI agent.

On invoices, Paidnice customers measured before and after they started went from 54, 25 and 57 invoices in every 100 paid on time to 83, 60 and 67 ([customer results](https://www.paidnice.com/blog/paidnice-customer-results#customer-results)).

These businesses also used Paidnice's reminders, so the result shows what changed after the agent went live, not proof that the agent alone caused it. Logging promised dates, reading remittance advice and updating contacts are the agent's jobs, so each reply is dealt with sooner.

## Can an AI agent handle cash application, forecasting and credit risk?

An AI agent supports cash application, forecasting and credit risk from remittance advice, payments in Xero or QuickBooks Online and each customer's payment history: remittance advice, payments in Xero or QuickBooks Online, each customer's payment history and the expected payment date.

| Job | What an agent adds | How Paidnice does it |
| --- | --- | --- |
| Cash application | Reads remittances and ties them to invoices | Reads remittance advice in the email or an attached PDF and logs it against the invoices being paid. The payment is matched in Xero or QuickBooks Online, and reminders stop once the invoice is paid there. |
| Forecasting | Uses promised dates, not only due dates | A weekly forecast of the cash that will land, based on how each customer has paid before. Expected payments can be viewed by due date or by expected date. See [AR reports](https://www.paidnice.com/accounts-receivable-reporting). |
| Credit risk | Flags customers whose payments are slipping | A [credit score from 0 to 100](https://www.paidnice.com/credit-scoring) for every customer, built from how they pay you. |

## What are the three kinds of accounts receivable AI agent?

The three kinds of accounts receivable AI agent are one that writes reminders, one that reads replies, and your own assistant connected to your AR data. Most AR tools sell the first two. The third needs no extra software.

| Kind | What triggers it | What it does | In Paidnice |
| --- | --- | --- | --- |
| Writing agent | A reminder is due | Writes each email from the invoice, the customer's other open invoices and recent payments | A reminder template where AI writes each email from your prompt when it sends |
| Reply agent | A customer replies | Reads the reply, logs dates and disputes, drafts the answer, proposes ledger changes | The [AI collections agent](https://www.paidnice.com/ai-collections-agent), set up as a user with its own accounts |
| Your own assistant | You ask a question | Reads your AR data in chat and can update the people on a contact | Claude or ChatGPT connected through the [MCP server](https://www.paidnice.com/mcp), with Read or Read and Write access, on Pro and Custom |

The reply agent saves the most time, because it acts on what customers say after a reminder. That is the work a person otherwise does manually, one email at a time.

## What happens to each kind of customer reply?

Each type of customer reply leads to a different action, and some of those actions change your ledger. Here is how a reply agent handles the common ones in Paidnice:

| The customer writes | What Paidnice prepares | What changes once approved |
| --- | --- | --- |
| "Payment goes out on the 14th." | Logs the 14th as the expected payment date and drafts a reply | Reminders can skip the invoice while the promise is open, and the owner gets an email if it breaks |
| "Payment for both invoices goes out Friday. Remittance attached." | Reads the remittance PDF and logs which invoices the payment covers and the payment date | Reminders skip those invoices while the payment is on its way |
| "We need a PO number on this before AP can pay." | Adds the PO to the invoice and prepares the resend | The invoice in Xero or QuickBooks, sent again |
| "Please send invoices to ap@ from now on." | Updates the contact details | Who gets the next reminder |
| "Two of the ten items arrived broken." | Logs a dispute with the reason and assigns an owner | Reminders can skip the invoice while the query is open |
| "Can we pay this over three months?" | Drafts a payment plan | The plan is created when a person approves it |

Paidnice data shows why a new contact or a first late payment is worth acting on the same week:

**Act on a new contact fast.** When a reminder bounces, the invoice is twice as likely to be unpaid 75 days after its due date (about 13 in 100, against 6 in 100).
Original dataSource: our analysis of invoice data from over 1,000 Paidnice customers. See warning signs of a late payer.

**Act on the first late payment.** After an on-time payment, a customer pays the next invoice on time about 8 times in 10. After a payment just 1 to 7 days late, that falls to about 3 in 10.

## What happens when two customers reply to one reminder run?

When two customers reply to the same Monday reminder run, Paidnice's AI agent handles each reply differently. This example is for a business on QuickBooks Online, and the names are made up.

Reply 1, from Harbor & Co, about INV-2317 for $6,420.00Hi, our AP team can't release payment without a PO number on the invoice. It's PO-55102. Thanks, Sam

1. Paidnice reads the reply and finds the request: add PO-55102 to INV-2317.
2. It prepares two actions: add the PO number to the invoice in QuickBooks, and resend the invoice to Sam.
3. The account owner approves both, and the updated invoice goes to Sam.

Reply 2, from Pinecrest Dental, about INV-2290 for $3,180.00We were only sent 8 of the 10 cartons on this order, so we won't be paying the full amount until that's sorted.

1. Paidnice logs a dispute on INV-2290 with the reason "Goods not received", and reminders skip the invoice while the query is open.
2. It assigns the dispute to the owner and drafts a reply for the owner to edit.
3. The owner approves the reply and settles the shortfall with the sales team.

Reply 1 took one approval. Reply 2 took one approval and a conversation with sales.

## How do you switch on an AR agent safely?

Switch on an AR agent over about 30 days: hold all sending first, review real drafts, then pre-approve one low-risk action type at a time. This is the plan we suggest in Paidnice:

| Week | Setting | What you do | Move on when |
| --- | --- | --- | --- |
| 1 | Safe Mode on | Let Paidnice prepare actions on real replies while nothing reaches customers. Compare each draft with what you would have sent. | The drafts read like your team wrote them |
| 2 | Draft policies | Approve, edit or skip every action. Note which types you edit. | You edit almost none of one action type |
| 3 | Pre-approve promised dates and contact updates | Let those two run. Customers never see them, and both are easy to change back. | The dates and contacts check out |
| 4 | Give the agent its own accounts | Assign the [AI agent, as a user](https://www.paidnice.com/approvals), a group such as small balances. Pre-approve replies to promises if your drafts needed no edits. | Keep disputes, plans and credit stops on approval |

The plan is our suggestion, not a tested result. Pre-approve what is routine and easy to reverse. Keep anything that commits you on price, a payment plan or credit with a person.

**Some accounts need a person, not another email.** For a payer with no other overdue invoice, a reminder is followed by about 26 more invoices in every 100 paid within 7 days. For a payer with 4 or more overdue invoices, it is only 1 to 4 more.

## How Paidnice controls what its AI agent does

Paidnice uses AI to write reminders, read replies and prepare the next step, with four controls over what reaches customers:

- **Draft or Active policies.** A Draft policy holds its actions until you approve them. An Active policy sends on schedule, including reminders written by AI.
- **Pre-approval.** Pre-approve the prompts and types of AI action you trust. Without pre-approval, drafted replies wait for a person.
- **The agent as a user.** The AI agent has its own prompt and rules, and handles the contacts or groups you assign to it.
- **Safe Mode.** One switch holds every send. Paidnice prepares actions for review and sends nothing to customers.

Every action can be approved, skipped or run now. The action list shows each action's status and when it ran, and it can be filtered, exported and saved as a view. Replies come back to your inbox when you send from Gmail, Outlook or [your own domain](https://www.paidnice.com/send-from-your-own-domain).

## How do you test an AR agent before you buy?

Bring three real replies from your inbox to the demo, then score the agent on these tests. Paidnice's answers are filled in for comparison:

| Test | A pass looks like | Paidnice |
| --- | --- | --- |
| Which replies does it read? | Replies to reminders, statements and late fee emails | All three |
| Can it read remittance advice? | From the email text and from PDF attachments | Both |
| What can it change in the ledger? | Named fields, each after approval | PO numbers and contact details, once approved |
| Can approval differ by action type? | Promised dates can run while replies wait | Yes, by pre-approving action types |
| Is there one switch that stops all sending? | Yes, for setup and after changes | Safe Mode |
| What happens to a dispute? | Reminders hold and an owner is named | Reminders can skip open queries, and the dispute gets an owner |
| Can your own assistant reach the data? | A connection your team controls and can revoke | MCP for Claude and ChatGPT, Read or Read and Write, on Pro and Custom |

## Common questions

Short answers on what an accounts receivable AI agent does, what it sends without approval and which ledger changes it can make.

### What does an AI agent do?

An AI agent takes a goal, reads the information it has, and carries out steps toward it, such as drafting a message or updating a record. In accounts receivable, the goal is getting each overdue invoice paid.

### How can I use AI for accounts receivable?

Use AI for accounts receivable by starting with the replies to your reminders. Let AI read them, log promised dates and draft answers for a person to approve. Then add AI-written reminders, and connect your own assistant for questions about your ledger.

### What is accounts receivable automation?

Accounts receivable automation uses software to send invoices, reminders and statements, track payments and update records without manual typing. An AI agent adds reading and answering customer replies.

### Is AI going to take over accounts receivable?

No, AI will not take over accounts receivable: it takes over the reading, logging and first drafts, while a person still decides on disputes, payment plans, credit limits and anything not pre-approved.

### Will AI take accounts receivable jobs?

AI changes accounts receivable jobs: the typing and inbox sorting go to the agent, and the job moves toward disputes, credit decisions and the accounts that need a phone call.

### What type of AI is used in accounting?

Mostly large language models, which read and write text such as customer replies and reminders, alongside rules and scoring models for jobs like matching payments and rating credit risk.

### Does an AR agent send emails without approval?

An AR agent sends emails without approval only if you allow it. In Paidnice, drafted replies wait for a person unless you pre-approve that type of action, and Safe Mode holds every send.

### Does an AR agent read remittance advice?

Paidnice's AR agent reads remittance advice from the email text or a PDF attachment, logs which invoices the payment covers and the payment date, and holds reminders on them while the payment is on its way.

### Can an AI agent update Xero or QuickBooks?

Yes, an AI agent can update Xero or QuickBooks in Paidnice once you approve: it can add a missing PO number to an invoice and resend it, and update contact details from a reply.
