## Summary

QuickBooks Online has no Finance Charges preference like QuickBooks Desktop's recurring interest-rate feature. The closest native option is the Late fees setting, a flat amount or percent applied as a line item on the overdue invoice. For interest that accrues and compounds over time, you need a manual calculation or a connected app such as Paidnice.

- **The Desktop feature:** Desktop's Finance Charge preference takes an annual interest rate, a minimum charge and a grace period, then raises a separate finance charge invoice per customer.
- **The Online equivalent:** QuickBooks Online's Late fees setting charges a flat amount or a percent of the balance per invoice, week or month, not a compounding annual rate, and does not email the customer.
- **The fix:** Paidnice adds interest per annum prorated daily, compounding by default, with the tax rate and income account you choose, posted to QuickBooks Online as a Draft or Approved invoice.

## Why doesn't QuickBooks Online have Finance Charges?

QuickBooks Online has no equivalent to QuickBooks Desktop's **Finance Charge** preference, an annual interest rate applied automatically with its own finance charge invoice per customer. In Desktop the setting lives under Edit, Preferences, Finance Charge, with fields for Annual Interest Rate, Minimum Finance Charge and Grace Period, and you run it from Customers, Assess Finance Charges. None of that screen exists in QuickBooks Online; the closest native option is the separate Late fees setting, covered next.

## What does QuickBooks Online offer instead of Finance Charges?

QuickBooks Online's native **Late fees** setting, under Settings, Account and settings, Sales, adds a flat amount or a percent of the remaining balance to overdue invoices automatically as a line item, with an optional grace period. For the exact setup steps and the six-month cap, see [Can I add a late fee in QuickBooks Online?](https://www.paidnice.com/blog/can-i-add-a-late-fee-in-quickbooks-online)

## How do you add finance charges manually in QuickBooks Online?

Adding a finance charge manually is the only native way to put true interest over time on a [QuickBooks Online](https://www.paidnice.com/quickbooks) invoice, because the Late fees setting cannot calculate an accruing rate:

1. Open the overdue invoice.
2. Click **Add lines** at the bottom of the invoice.
3. Enter a description such as "**Finance Charge**" or "**Interest on overdue balance**".
4. Enter the amount you calculated.
5. Select the **income account** for the charge.
6. **Save** and **send** the updated invoice.

To leave the original invoice untouched, raise a new invoice with one line for the charge instead.

## How do you automate finance charges in QuickBooks Online with Paidnice?

[**Paidnice is an Intuit-listed QuickBooks app**](https://quickbooks.intuit.com/app/apps/appdetails/paidnice/) that applies interest to overdue QuickBooks Online invoices automatically, with the annual-rate mechanics Desktop users know. Setup takes four steps:

1. [Sign up for a Paidnice account](https://www.paidnice.com/sign-up) and connect it to your QuickBooks Online company.
2. Create a **Late Fee Policy** for a per-invoice fee, or a **Statement Interest** policy for interest on the whole overdue balance.
3. Choose a flat fee, a percent, or an interest rate per annum prorated per day, then the grace period, frequency, tax rate and income account.
4. **Save** the policy. Compounding on previous interest is on by default; turn it off for simple interest.

Paidnice then calculates the charge on each run, recalculates statement interest at the moment a statement is sent, and posts the charge to QuickBooks Online as a Draft or Approved invoice, so the fee is a receivable with a tax treatment. One disputed invoice can be excluded by its reference without switching the policy off.

## Why use Paidnice for finance charges?

Alongside finance charges, Paidnice sends:

1. [**Email**](https://www.paidnice.com/email-sms-reminders) and [**SMS reminders**](https://www.paidnice.com/sms-payment-reminders) that name the penalty still to come.
2. [**Automatic customer statements**](https://www.paidnice.com/automated-customer-statements) with the accrued interest.
3. [**Quote and estimate reminders**](https://www.paidnice.com/quickbooks-estimate-reminders).
4. [**Escalation workflows**](https://www.paidnice.com/escalations) for accounts that stay unpaid.

**A fixed finance charge gets paid more often.** About 8 in 10 fixed late fees get paid. Only about 6 in 10 percentage-based fees do, and percentage fees are the ones waived most often.

## Manual vs automated finance charges compared

Four ways to charge an overdue QuickBooks Online invoice differ in what they calculate, whether they repeat, and whether the customer hears about it.

| | Manual line item | QuickBooks Online Late fees | QuickBooks Desktop Finance Charges | Paidnice |
| --- | --- | --- | --- | --- |
| Calculation | Yours, manually | Flat or percent per invoice, week or month | Annual rate, prorated daily | Flat, percent, or annual rate prorated daily |
| Compounds | If you calculate it | No | Optional | On by default, can be switched off |
| Repeats automatically | No | Yes, up to six months overdue | When you run Assess Finance Charges | Yes, on the schedule you set |
| Customer notified | Only if you resend | No | Finance charge invoice, sent by you | Yes, by email, plus reminders and statements |
| Exclude one invoice | Yes | No | Per customer | Yes, by invoice reference |

The manual route suits a business with a handful of overdue invoices a month. Past that, the errors and missed months cost more than the interest collects, and [**Paidnice**](https://www.paidnice.com/sign-up) pays for itself. Sign-up is free with no card.

## What mistakes cost you money when you charge interest in QuickBooks Online?

Three mistakes leave an overdue invoice without the charge you meant to raise.

- **Turning on Late fees for the account but not the customer.** [Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/invoicing/understand-automatic-late-fees-quickbooks-online/L0gewLCxt_US_en_US) says late fees must be on for the specific customer as well as the account. A 1.5% monthly fee on a $5,000 invoice is $75 a month ($5,000 × 0.015) that is never charged. *Fix: check each customer after you turn the setting on.*
- **Expecting fees past month six.** QuickBooks adds late fees for up to six months. On an invoice eight months overdue, the last two months of a $75 monthly fee are $150 ($75 × 2). *Fix: add a manual line for each later month.*
- **Letting the fee land with no email.** QuickBooks does not email the customer when the fee is added, so no reminder follows it. Compared with sending nothing, the first overdue reminder gets about 19 more invoices in every 100 paid within a week, the second about 12 more, and the third to eighth 5 to 7 more each.*Fix: schedule a reminder after the fee. Paidnice sends it automatically.* Source: our analysis of invoice data from over 1,000 Paidnice customers. ## Frequently asked questions

### Does QuickBooks Online charge finance charges automatically like Desktop?

No. QuickBooks Online has no automatic interest-rate feature. Its Late fees setting applies a flat or percent amount per invoice, week or month, not a compounding annual rate, and does not email the customer.

### Should I add finance charges to my invoices?

State the rate on the invoice and in reminders, keep the fee on the ledger so it appears in the customer's aged payables, and check the limits on interest in your jurisdiction first.
