# Can AI do accounts receivable? What it handles

## Summary

Yes, AI can do the routine work in accounts receivable: it writes reminders, reads customer replies, logs promised payment dates and drafts the answer. A person approves each reply unless you have pre-approved that type, and decides anything that changes money, terms or the relationship.

- **What AI handles:** AI writes each reminder from the customer's account and reads replies to find the payment date or PO number.
- **What a person approves:** Reply drafts wait for approval unless you pre-approve that type, and disputes, credit stops and special terms stay with a person.
- **In Paidnice:** Paidnice reads the reply, logs the promised date on the invoice and holds reminders on policies set to skip when a payment is promised.

You sent Monday's reminders. By Wednesday three replies sit in your inbox: a payment date, a request for a PO number, a claim that the invoice is wrong. That pile is normal: Intuit QuickBooks reports that [59% of businesses surveyed say at least some of their invoices are overdue by 30 days or more](https://quickbooks.intuit.com/r/small-business-data/small-business-late-payments-report-2026/). Here is what AI can do with each of those replies, and what you still approve.

## Can AI do accounts receivable?

**AI can do the reading and writing in accounts receivable: it writes reminders, reads customer replies, logs promised payment dates and drafts the next message. A person approves or decides the rest.**

Rules alone could not do this part of [accounts receivable automation](https://www.paidnice.com/blog/what-is-accounts-receivable-automation), because every reply is written differently. The [AI accounts receivable page](https://www.paidnice.com/ai-accounts-receivable) shows how Paidnice does this on Xero and QuickBooks Online.

## Which accounts receivable jobs does AI handle, and which does a person keep?

**AI handles the jobs that read and write text. A person keeps every job that decides money, terms or the relationship. The table below splits the work job by job.**

| Job | AI does | Person does |
| --- | --- | --- |
| Write a reminder | Writes each email from the customer's open invoices and payments | Approves the draft, or lets it send on schedule |
| Read a customer reply | Finds the invoice, the payment date or the PO number in the reply | Checks anything unusual |
| Log a promised payment date | Records the date on the invoice, and reminders set to skip when a payment is promised wait until the date passes | Follows up if the promise is broken |
| Request a missing PO number | Asks the right person, adds the PO to the invoice and drafts the resend | Approves the request and the resend |
| Answer the customer | Drafts the reply | Approves it, or pre-approves that type of reply |
| Find out why an invoice is disputed | Searches for the reason and prepares the actions to resolve it | Approves or revises the actions |
| Decide the next step | Proposes a payment plan, new terms or a stop on credit | Decides |
| Talk to a customer in financial difficulty | Nothing | Talks to the customer |
| Take formal or legal action | Nothing | Decides and acts |

For the steps after a reply lands, read [what to do when a customer replies to a payment reminder](https://www.paidnice.com/blog/customer-reply-payment-reminder); for a promised date that passes unpaid, read [what to do when a customer promised to pay but didn't](https://www.paidnice.com/blog/broken-promise-to-pay); for the last two rows, the [invoice escalation ladder](https://www.paidnice.com/blog/invoice-escalation-ladder) sets out the order.

## What does a person still approve when AI does accounts receivable?

**A person approves any AI-drafted reply before it sends, unless you have pre-approved that type of reply. A person also decides every stop on credit, change of terms and legal step.**

Reminders run on policies. An Active policy sends AI-written reminders on schedule, and a Draft policy holds each action until you approve it. Both are normal choices. Safe Mode sits above both: switch it on and Paidnice prepares actions for review but sends nothing to customers.

A sensible way to start is Safe Mode on, a few days of reading the drafts, then pre-approving one reply type you are happy with. The [AI credit control page](https://www.paidnice.com/credit-control-ai) shows the full scale, from draft-only to pre-approved actions.

Paidnice insight

When a customer disputes an invoice, Paidnice searches for the reason behind the dispute and prepares the actions to resolve it, for approval or revision. There is more on [handling a disputed invoice](https://www.paidnice.com/blog/handle-disputed-invoice) without stopping cash flow.

AI cannot read silence. When a customer [ignores every reminder](https://www.paidnice.com/blog/customer-ignores-invoice-reminders), the next step is a person's call.

## Will accounts receivable jobs be replaced by AI?

**AI takes over the reading and drafting of routine replies. The conversations, the disputes and the judgment calls stay with people, so the job changes shape.**

The rows in the table where AI does nothing need a person on the phone or a decision with consequences, such as a customer in financial difficulty or a formal letter. The longer answer, on credit controllers specifically, is in [will AI replace credit controllers](https://www.paidnice.com/blog/will-ai-replace-credit-controllers).

## Can ChatGPT do accounts receivable or accounting?

**A chat assistant can draft a reminder or summarize a reply from text you paste in, but it cannot see your ledger, log a date on an invoice or hold the next reminder until that date passes.**

The gap is the connection to your ledger. Paste a customer's email into a chat assistant and it will find the payment date and draft a polite reply. Then you copy the date into your notes, pause the reminder yourself and check back on the day.

Software connected to Xero or QuickBooks Online does the logging and the holding. It knows which invoice the reply is about because it sent the reminder, and the policy waits for the date it records.

For the practice side, where an accountant runs AI over a client's ledger rather than their own, see [Claude skills for accountants](https://www.paidnice.com/blog/claude-skills-for-accountants).

## Is there an AI that can do accounting inside Xero or QuickBooks?

**Yes. Xero and Intuit both build AI into their products, and Paidnice works with both platforms on what happens after an invoice is overdue.**

In QuickBooks, Intuit Assist [detects invoices that are overdue and automatically drafts personalized invoice reminders](https://quickbooks.intuit.com/r/innovation/intuit-assist-for-quickbooks/), and the owner can review and edit the reminder before it goes. In Xero, [JAX](https://www.xero.com/ai-in-accounting/jax/) helps with admin tasks like creating invoices or quotes.

Paidnice picks up once the invoice is overdue and the customer writes back. It reads the customer's reply, logs the promised date or PO number against the invoice, and drafts the answer for approval. The [QuickBooks AI agent on overdue invoices](https://www.paidnice.com/blog/quickbooks-ai-agents-overdue-invoices) and [Xero JAX on overdue invoices](https://www.paidnice.com/blog/xero-jax-overdue-invoices) each cover their platform in detail.

**Paidnice prepares draft policies for you. Nothing runs until you approve them.** Setup takes under 15 minutes on Xero or QuickBooks Online. [Book a call](https://www.paidnice.com/book-a-demo).

## Questions about AI in accounts receivable

Is it safe to let AI email my customers?

Yes, with the controls on. Reply drafts wait for approval unless you have pre-approved that type of reply, and Safe Mode holds every send while you read what the AI would write. Every send shows in the invoice's activity feed, and every policy keeps a change history.

What is the best AI tool for accounting and finance?

Choose by job. For bookkeeping and invoicing, start with the AI inside your ledger. For overdue invoices on Xero or QuickBooks Online, pick a tool that connects to the ledger, reads customer replies and keeps a person approving what goes out. Paidnice does this; the [AI accounts receivable page](https://www.paidnice.com/ai-accounts-receivable) sets out each job it covers.

Does Paidnice's AI work with Xero and QuickBooks Online?

Yes, both. Paidnice reads the invoices and contacts from your ledger, and reminders set to skip a promised payment wait until the promised date.

What happens when AI cannot read a reply?

It goes to a person. Anything that does not look right, such as an unusual PO number format, is routed to someone on your team for review before it is used.
