## Summary

To ask for payment over the phone, name the invoice, the amount and the due date, ask when it will be paid, then stop talking. Agree on an amount and a date before you hang up, send the payment link while you are still on the call, and confirm the date in writing the same day.

- **The ask:** Ask a direct question, such as "When will invoice 1042 be paid?", not "Is there any chance you could look at it?"
- **The close:** Repeat the amount and the date back to the customer, and send the payment link before the call ends.
- **In Paidnice:** On the Pro plan and above, call the customer from Paidnice. Paidnice records the call, writes a transcript and a short summary, and saves both to the customer's timeline.

**Most people who hate asking for money on the phone make the same mistake. They apologize, hint, and hang up without a date.** The fix is a short call with one clear question and one agreed date.

## How do you ask for payment over the phone?

Name the invoice, ask when it will be paid, and agree on a date before the call ends. The whole call can take two minutes. Use these six steps.

1. **Say who you are and why you are calling.** "Hi Sam, it's Jo from WellPaid. I'm calling about invoice 1042 for $2,480, which was due on October 1."
2. **Ask one direct question, then stop talking.** "Can you tell me when that will be paid?" Then wait for the answer.
3. **Listen for the reason.** A late invoice is usually stuck somewhere: in approval, in a lost inbox, in a cash gap or in a dispute. Find out which one.
4. **Agree on an amount and a date.** "So that's $2,480 by Friday, October 30. Is that right?" A date the customer says out loud is a promise. "Soon" is not.
5. **Make it easy to pay now.** "I'll text you the payment link while we're on the phone." With the link on their phone, the customer can pay before the call ends.
6. **Confirm it in writing the same day.** Send a short email with the amount, the date and the link, so the promise is on record.

## Polite phrases that still ask for the money

You can be polite and clear in the same sentence. The phrases on the left feel kind, but they give the customer an easy way out. The phrases on the right are just as polite, and they ask for a date.

| Instead of | Say |
| --- | --- |
| "Sorry to bother you." | "I'm calling about invoice 1042." |
| "Just checking in." | "It was due on October 1 and it's still open." |
| "Whenever you get a chance." | "Can you pay it by Friday?" |
| "Is there any way you could look at it?" | "When will it be paid?" |
| "No worries at all." | "Thanks for telling me. What date can you commit to?" |

Keep your voice friendly and your words specific. Name the invoice number and the amount every time, because a customer who has to look it up has a reason to call you back later.

## What to say when the customer pushes back

Each excuse has a next question. Ask it, then come back to a date.

- **"Cash is tight right now."** "Thanks for being straight with me. Could you pay half by Friday and the rest two weeks later?" A [payment plan](https://www.paidnice.com/create-payment-plans) with dates is better than an open balance with none.
- **"We never got the invoice."** "No problem. What's the best email? I'll send it now and stay on the line until it arrives."
- **"It's waiting for approval."** "Who approves it, and when is your next payment run?" Then ask for that person's email.
- **"We already paid it."** "Great. What date did it go out, and what reference did you use?" Check it against your bank before you hang up, if you can.
- **"The invoice is wrong."** "What part is wrong?" Fix that part, then ask when the rest will be paid.

For full word-for-word scripts for each of these, see our [collection call scripts](https://www.paidnice.com/blog/8-proven-payment-reminder-and-collection-call-scripts).

## When should you call instead of sending another email?

Call when two or three reminders have had no reply, and call early. In Paidnice data on 6.9 million invoices, an invoice 7 days overdue has a 1 in 5 chance of still being unpaid at 180 days. At 30 days overdue the chance is 2 in 5, and at 90 days it is 3 in 4.

A phone call is also the right move for a large invoice, a customer who has paid on time for years and suddenly stops, or an account where emails bounce. For the full routine, read [how to make collection calls](https://www.paidnice.com/blog/how-to-make-collection-calls).

## Can you take the payment during the call?

Yes, but send a link rather than taking card numbers by voice. Card details read out on a phone call need a PCI-compliant virtual terminal, and most small businesses do not have one. A payment link is safer, and the customer can pay while you are still talking.

In Paidnice, every invoice has a pay link to the [customer payment portal](https://www.paidnice.com/customer-payment-portal), and you can send it by SMS from the invoice page. The customer taps it and pays online.

## What should you send after the call?

Send a short email within the hour. It turns a spoken promise into a written one that you can point back to.

> Hi Sam, thanks for your time on the phone today. As agreed, invoice 1042 for $2,480 will be paid by Friday, October 30. Here is the link to pay online: [link]. Jo

Then [log the call on the customer's record](https://www.paidnice.com/blog/call-log-template): who you spoke to, what they said and the date they gave. The next person to pick up the account should not have to ask the same questions again.

## In-app calling, recording and transcription in Paidnice

Paidnice's [in-app calling](https://www.paidnice.com/in-app-calling) lets you call the customer from Paidnice, and it records and transcribes the call for you. Press Call on the customer's page and choose the person to call. When the call ends, Paidnice writes a short summary of what was agreed and saves it, with the full transcript, to the customer's timeline.

- **Call from Paidnice.** Talk from your browser, or Paidnice rings your phone and connects you to the customer.
- **Recording and transcript.** Paidnice records the call and writes a two-sided transcript with timestamps.
- **A summary that syncs to your ledger.** The short summary goes to Xero or QuickBooks as a note, so the full transcript stays in Paidnice.
- **Every call in one list.** The Calls page shows each call with the date, the customer, who called, the duration and the summary.

Paidnice shows a notice on every call: "This call is recorded for the transcript. Let the customer know if your region requires it." Check [whether it is legal to record a call with a customer](https://www.paidnice.com/blog/call-recording-laws-business) in your state. Calling is on the Pro plan and above. ## Questions about asking for payment over the phone

**Is it rude to call a customer about an unpaid invoice?** No. You did the work and the invoice is past its due date, so a short, friendly call is normal business. It is rude only if you are vague or aggressive, so name the invoice, ask for a date and thank them.

**Should I email or call first?** Email first. Automated reminders before and after the due date get many invoices paid with no call at all. Call when two or three reminders have had no reply, or when the invoice is large.

**How do I ask for payment politely?** Be specific instead of apologetic. Say the invoice number, the amount and the due date, ask when it will be paid, and thank the customer for the date they give you.

**Can I record a call when I ask for payment?** Recording laws differ by country and, in the US, by state. Some places require every person on the call to agree. Tell the customer at the start that the call is recorded, and check the rules where you and your customer are.

**What if the customer does not answer?** [Leave a short voicemail](https://www.paidnice.com/blog/voicemail-script-unpaid-invoice) with your name, the invoice number and your number, then send an email the same day. Try again in two or three days, at a different time.
