## Summary

You can email NetSuite statements in bulk from Generate Statements and, with a scheduled workflow, send them automatically on a set day. Oracle's standard run page describes no schedule, no pay link and no statement across separate companies. Paidnice sends statements of account on any schedule with a Pay now link on each one.

- **Paidnice:** Best for NetSuite teams that send statements every month and want a Pay now link on each one. Weekly or monthly on the days you choose, one section per currency, on the Custom plan with a two-way NetSuite sync.
- **Generate Statements (manual):** Customers > Accounts Receivable > Generate Statements. Print, email or fax, one page of customers at a time.
- **Scheduled workflow:** A Customer workflow with a Send Email action set to Include Statement. No code, but Oracle calls it deep customization and advises a sandbox test.
- **Dunning attachment:** The Dunning Letters SuiteApp can attach one statement per subsidiary at customer level. It cannot attach a statement at invoice level.

Paidnice connects to your ERP on the Custom plan. [Book a demo on your own data](https://www.paidnice.com/book-a-demo), and a specialist sets up the connection.

It is the first working day of the month. You open Generate Statements, tick the customers, press Email, and repeat it page by page, because Oracle's page says to submit one page at a time. A customer replies that the deposit they paid is missing, and another asks for the statement in Excel.

Here is how to email NetSuite customer statements in bulk, how to send them on a schedule without a script, which settings give an open-item or balance-forward statement, and where Oracle's pages stop.

## How do I email NetSuite customer statements in bulk?

Go to Customers > Accounts Receivable > Generate Statements, set the statement date and the customers, and choose Email. Each customer needs an email address on the record. In order:

1. **Open the run.** Customers > Accounts Receivable > Generate Statements, or Print Checks and Forms > Statements. For one customer, use Individual Statement, or open the customer record and run Generate Statement from its Actions menu; check the label on your account, since Oracle's page documents the Individual Statement route.
2. **Set the fields.** Statement Date (it also drives the aging), Start Date, Restrict By Group, Include Zero Balances, Show Only Open Transactions, Statements in Queue, Consolidated Statement and Form.
3. **Pick the action.** Print gives HTML or PDF, and Print in Customer's Locale translates the statement. Email needs an address on each record. Fax needs a fax service set up.
4. **Submit one page at a time.** Oracle's page says selections you have not submitted can be lost when you change page.
5. **Add filters if you need them.** The Customize link adds filter columns to the list.

Oracle's own steps are on its [Generating Statements](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1300518.html) page.

### NetSuite statement settings and what each one does

| Setting | Effect | Gotcha |
| --- | --- | --- |
| Statement Date | Date of the statement; drives the aging | Use today's date. Oracle says other dates "may cause balance discrepancies" |
| Start Date entered | A Balance Forward line, then transactions from that date | Leave it blank for no Balance Forward and the full history |
| Show Only Open Transactions | Open items only. Charge and Payment show full transaction amounts; Balance is the remaining balance | Use with today's date |
| Include Zero Balances | Lists customers with a zero balance | Off by default, so paid-up customers get nothing |
| Restrict By Group | Limits the run to one customer group | Groups are set up before the run |
| Statements in Queue | Reuses a statement queue | Check the queue before you send it again |
| Consolidated Statement | Hierarchy balance for a parent and its sub-customers | Needs Consolidated Payments |
| Form (Printing Type = Advanced) | A Print Template and a separate Email Template | Oracle says basic PDF/HTML layouts "will be removed in a future release" |
| Print in Customer's Locale | Translates the statement | Print only |

## Can NetSuite send statements automatically on a schedule?

The Generate Statements run has no schedule, but a scheduled workflow with a Send Email action set to Include Statement sends statements automatically, with no scripting. Oracle documents it on its [Attaching Statements to an Email](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_4148832855.html) page.

Oracle's wording: "Use the Include Statement option under the Attachment parameter". The option is "only available in workflows with Customer, Lead, or Prospect as the base record type". Oracle's own example is a workflow that runs weekly, with a search filter for customers overdue more than 90 days.

One public write-up builds it in three parts:

1. A customer saved search: Inactive is false, Balance is greater than 0, Email is not empty.
2. A workflow on the Customer record in Testing, with Keep Instance set to Always, and a Send Email action with Include Statement ticked.
3. A monthly schedule on day 1, with Execute Now to test it.

Oracle warns that this route "requires deep NetSuite customization knowledge" and recommends testing in a sandbox first. The other native route is a scheduled Map/Reduce script, which is custom code.

The schedule is fixed per workflow. A customer who wants no statement, a different day for one group, or a different From address per subsidiary each means more workflow logic. NetSuite sends statements on a schedule through a workflow, and the Generate Statements page itself has no schedule.

## Open-item or balance-forward: which settings give which statement?

Entering a Start Date gives a balance-forward statement, leaving it blank gives the full history, and Show Only Open Transactions gives an open-item statement. Oracle does not use the terms open-item or balance-forward, so the first three rows of the settings table are the mapping.

The layout comes from an Advanced PDF/HTML template: set the form's Printing Type to Advanced, then pick a Print Template and an Email Template. Oracle says new enhancements go only to advanced printing.

The form lives under Transaction Forms in the Customization menu. Oracle ships a Standard Statement PDF/HTML Template, which has no multi-currency support, and a Standard Multi-currency Statement Template; which multi-currency template you can pick depends on whether the account started before or after 2014.2.

## Why do deposits or credits look wrong on a statement?

Oracle's rule on deposits is plain. A Customer Deposit goes into the general ledger as a liability until the goods or services are delivered, and it does not affect the customer's accounts receivable balance ([Oracle, customer deposits](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1296349.html)). A statement lists receivables, so an unapplied deposit is not on it until the deposit is applied to an invoice.

The unapplied total sits in the Deposit Balance field on the customer record. Unapplied Credit Memos and unapplied Customer Payments are receivables, so they appear on the statement as negative lines. A Customer Deposit does not, until a Deposit Application moves it onto an invoice.

Forum questions on deposits date to a 2007 thread where the aging line ignored a deposit; the rule above is why. Two further patterns come up in the answers, neither on Oracle's page, so treat both as unverified. A deposit tied to an open sales order applies only to invoices from that order, and a currency mismatch blocks the application.

Paidnice does not change how NetSuite applies a deposit. It shows what it reads from the ledger. Unapplied Credit Memos and unapplied Customer Payments appear as lines in the Outstanding Invoices and Credits table, usually as negative values. You set each credit type to Ignore, Show Only, or Show and Deduct, and Show and Deduct also changes the totals.

A Customer Deposit posts to a liability account, not to Accounts Receivable, so it does not appear until a Deposit Application moves it onto an invoice.

## Can a NetSuite statement carry a pay link?

Oracle's Payment Link page places the link in the invoice email body and the invoice PDF template and does not mention statements, so treat any statement link as a template customization to test in a sandbox.

For a whole balance, Oracle's route is Customer Center, where customers log in, print statements and pay open invoices. The [NetSuite payment link](https://www.paidnice.com/blog/netsuite-payment-link-customer-portal) setup is covered in its own post.

Paidnice embeds payment links in the PDF statement, and the same Pay now link goes in every reminder, SMS and portal page. The customer who opens the statement pays without logging in.

## Can a parent customer get one consolidated statement?

With Consolidated Payments on, ticking Consolidated Statement shows the balance for the customer and sub-customer hierarchy. A statement across separate companies is not a documented option.

Oracle keeps a Multi-Subsidiary Customer's balance per subsidiary: the Balance field on the Subsidiaries subtab of the customer record is that subsidiary's total, shown in the customer's primary currency ([Oracle, customer balances for assigned subsidiaries](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_1509462110.html)).

A 2024 community thread adds that the standard statement workflow reports only the customer's primary subsidiary. That part is a forum answer, so confirm it on your account.

The [Dunning Letters](https://www.paidnice.com/blog/netsuite-dunning) SuiteApp takes a different route. With Multi-Subsidiary Customer on and the custom statement form set to Printing Type Advanced, a dunning email attaches one statement per subsidiary, each showing that subsidiary's amount due. Statements cannot be attached in invoice or invoice-group dunning.

On a NetSuite connection, Paidnice gives a group one login across entities, with each entity sending its own statements in its own name, currency and time zone.

## How does Paidnice send statements for a NetSuite team?

Paidnice reads invoices from NetSuite through a two-way sync and sends statements on any schedule, weekly or monthly, with a Pay now link and one section per currency. Custom fields sync too, and a payment applied in NetSuite stops the chase at the next sync.

- **Two statement types.** Outstanding statements show open items only. Activity statements show the period's invoices, payments and credits.
- **Any schedule.** Weekly or monthly on the days you choose. Monthly (Weekdays) moves a send that falls on a weekend to the next weekday.
- **Pay now on the statement.** Payment links are embedded in the PDF statement.
- **One section per currency.** A customer billed in USD and GBP gets both on one statement, each in its own currency.
- **Print and post.** Override Destination Email sends every statement to one address, which is how statements reach a print and post service.
- **Statement interest on every plan.** Interest on the overdue balance recalculates when the statement is sent, so the figure the customer opens is right that morning. The [NetSuite finance charges](https://www.paidnice.com/blog/netsuite-finance-charges) post covers the interest side.

Statements are on every plan, and the [Paidnice NetSuite connection](https://www.paidnice.com/integrations/netsuite) runs on the Custom plan. Paidnice connects through SuiteTalk REST under a dedicated integration role, and an implementation specialist handles setup. Custom is quoted for your setup: the ERP connection, your invoice volume and support. There are no plan limits, and it is never priced by your revenue.

## NetSuite customer statements: common questions

Short answers on emailing NetSuite statements in bulk, sending them on a schedule, attaching them to dunning letters, exporting to Excel, adding a pay link and consolidating a parent customer.

**How do I send customer statements in NetSuite?** Go to Customers > Accounts Receivable > Generate Statements, choose the statement date and the customers, then Email. Each customer needs an email address on the record.

**Can NetSuite send customer statements automatically?** Not from Generate Statements. A scheduled workflow with a Send Email action set to Include Statement can, on a fixed schedule. Oracle calls this deep customization and advises testing in a sandbox.

**Can I attach statements to a dunning email?** Yes, at customer level in the Dunning Letters SuiteApp. With Multi-Subsidiary Customer on and Printing Type Advanced it attaches one statement per subsidiary. It cannot attach a statement at invoice or invoice-group level.

**Can I send a NetSuite customer statement in Excel or CSV?** Oracle's Generating Statements page lists print, email and fax. A forum summary says there is no direct Excel export of a statement; Oracle's page does not say either way.

**Can I attach the invoices to a NetSuite customer statement email?** Oracle's Generating Statements page offers print, email and fax, and lists no invoice attachment on the statement email. The Dunning Letters SuiteApp can attach invoices and a statement to one letter, up to 95 standard invoices at once.

**Can I add a payment link to a NetSuite statement?** Oracle's Payment Link page does not mention statements. Paidnice embeds payment links in the PDF statement it sends for a NetSuite team.

**Can I send one consolidated statement for a parent and its sub-customers?** Yes. Turn on Consolidated Payments and tick Consolidated Statement in the Generate Statements run. The statement shows the hierarchy balance.
