## Summary

To list overdue invoices in NetSuite, build a Transaction saved search with Type = Invoice, Main Line = Yes, Amount Remaining greater than 0 and Due Date before today. You can schedule it to email the results to the addresses you choose, including customers and contacts, but what arrives is a results table, not a reminder letter.

- **Build it:** Seven criteria rows and nine results columns, listed below to copy. Main Line = Yes is the row most people miss.
- **Group it:** Group on Name, Sum on Amount Remaining, Maximum on Days Overdue and a Count of invoices, so you see who has several overdue at once.
- **Email it:** Oracle's recipient page lists customers and contacts as recipient types. The email carries a table of rows, with no invoice PDF and no payment link.
- **Where it stops:** No reminder levels, no stop when a payment posts between runs, no reply handling and no promised date.

Paidnice connects to your ERP on the Custom plan. [Book a demo on your own data](https://www.paidnice.com/book-a-demo), and a specialist sets up the connection.

It is Monday and you need the list of who to follow up. In NetSuite that list is a saved search, and you build it once. A scheduled saved search can then email the list, as a table of results, to the addresses you choose.

Below: the criteria and columns to copy, the grouping by customer, what Oracle says about emailing customers, and the jobs the search leaves manual. If you call it the debtors list, the same fields apply. For NetSuite's reminder add-on, see [NetSuite dunning](https://www.paidnice.com/blog/netsuite-dunning).

## What criteria find overdue invoices in NetSuite?

Create a Transaction saved search with Type = Invoice, Main Line = Yes, Amount Remaining greater than 0 and Due Date before today, and it lists every overdue invoice.

Go to **Reports > Saved Searches > All Saved Searches > New** and choose **Transaction**. On the Criteria subtab, add these rows. Oracle's guide to [finding transactions with a search](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_4637520815.html) covers the screen itself.

| Field | Operator | Value | Why |
| --- | --- | --- | --- |
| Type | is | Invoice | Invoices only, no credit memos or payments |
| Main Line | is | Yes (true) | One row per invoice, not one per line item |
| Amount Remaining | greater than | 0 | Still unpaid, whatever the status label says |
| Due Date | before | today | Overdue |
| Status | any of | Invoice : Open | Required if you use invoice approval routing: invoices still in Pending Approval stay off the list |
| Days Overdue | greater than | 0 | Alternative to the Due Date row; use one or the other |
| Subsidiary | is | (your subsidiary) | OneWorld accounts only |
| Customer : Inactive | is | false | Optional: leaves out customers marked Inactive on the System Information subtab |
| Customer : Credit Hold | is not | On | Optional: the Hold field on the Financial subtab, if accounts on hold are worked separately |
| Customer : Pause Dunning | is | false | Optional, with the Dunning Letters SuiteApp installed: keeps paused customers off the list |

Two rows matter more than they look. Without **Main Line = Yes**, the search returns a row for every line on the invoice: the duplicate-rows problem that comes up on Reddit and the Oracle community. **Amount Remaining greater than 0** is the safer test for unpaid, because status labels vary by account.

With SuiteFlow invoice approval on, Oracle says every invoice starts in Pending Approval, which is why the Status row is not optional ([Oracle, invoice approval](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1235332.html)). The three optional rows use Customer join fields; Oracle's pages on [inactivating customers](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_1515598204.html), [credit holds](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1080144.html) and [pausing dunning](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_4035800285.html) describe each field.

Due Date before today and Days Overdue greater than 0 return the same invoices; Days Overdue is the field in Oracle's own [collection letter example](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1302167.html).

### Results columns

These columns give a collector everything for a call:

| Column | Summary type (for the grouped view) | Why |
| --- | --- | --- |
| Name | Group | The customer |
| Subsidiary | Group | OneWorld: which entity the receivable belongs to |
| Currency | Group | OneWorld: keeps one group to one currency, so the Sum never adds two currencies |
| Document Number | none | The invoice to quote |
| Date | none | When it was raised |
| Due Date | none | When it fell due |
| Days Overdue | Maximum | The oldest debt per customer |
| Amount | Sum | Invoiced total |
| Amount Remaining | Sum | What is still owed |
| Customer : Email | none | The email on the customer record, added as a Customer join field |
| Document Number | Count | How many invoices are overdue per customer |

In a OneWorld account the Amount columns show in the search's subsidiary context, converted at the Consolidated Exchange Rate chosen on the Results subtab ([Oracle, consolidated exchange rates in searches](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1409190.html)). Group on Subsidiary and Currency before you trust a Sum.

Tick **Public** before you save so the team can run it. Before anyone follows up from the list, check for unapplied credit memos and customer deposits: a customer can look overdue when the money is already in the account.

Oracle's deposit rule is plain: a Customer Deposit goes into the general ledger as a liability and does not affect the customer's accounts receivable balance until it is applied to an invoice ([Oracle, customer deposits](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1296349.html)). So a deposit never nets off an invoice in this list; the unapplied total sits in the Deposit Balance field on the customer record.

Leave out NetSuite's representing entities too: the customer record NetSuite generates for each subsidiary for intercompany transactions, flagged Is Autogenerated Representing Entity ([Oracle, representing entities](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/article_159127287838.html)).

### The Customer search alternative

Oracle's own [collection letter example](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1302167.html) builds the list on the customer record: a Customer search with Overdue Balance greater than 0 and Days Overdue of 30 or more. One row per customer carries Balance, Overdue Balance, Days Overdue and Deposit Balance, with no Main Line row or summary types. Use it for the call list; the Transaction search above gives invoice numbers.

## How do you group the results by customer and days overdue?

On the Results subtab, set a summary type of Group on Name, Sum on Amount Remaining and Maximum on Days Overdue, and add a Count of Document Number to see who has several invoices overdue at once.

Summary types turn one row per invoice into one row per customer. Sort descending on the Sum of Amount Remaining. For aging buckets in the same search, add a **Formula (Text)** column:

CASE WHEN {daysoverdue} > 90 THEN '90+'
WHEN {daysoverdue} > 60 THEN '61-90'
WHEN {daysoverdue} > 30 THEN '31-60'
ELSE '1-30' END

The formula is our example, not Oracle's, so test it in your sandbox. NetSuite's A/R Aging report (Reports > Customer/Receivables) already does the buckets; the search adds the scheduled email and the per-customer count. See our guide to [aging reports](https://www.paidnice.com/blog/aging-reports) for the method.

The Count column changes what you do on Monday:

**Customers with a stack of overdue invoices need a person.** For a payer with no other overdue invoice, a reminder is followed by about 26 more invoices in every 100 paid within 7 days, in Paidnice data. For a payer with 4 or more overdue invoices, it is only 1 to 4 more in every 100.
Original dataSource: our analysis of invoice data from over 1,000 Paidnice customers. See when more reminders stop working.

So sort by Count. Send the single-invoice customers a reminder. Call the customers at four or more, or hand them to the account owner; our [invoice escalation ladder](https://www.paidnice.com/blog/invoice-escalation-ladder) sets out the steps after that.

## Can a NetSuite saved search email customers?

Yes. Oracle's recipient page lists customers and contacts among the recipient types for a scheduled saved search. What arrives is a table of results, not a reminder letter, and the email carries no invoice PDF and no payment link.

AI answers disagree on this. Some AI answers say a saved search cannot email anyone outside your company. Oracle's own recipient page says the Specific Recipients list can be limited to contacts, customers, employees, groups, partners or vendors, and that Recipients from Results accepts entity and email fields.

### Where the schedule and recipients are set

The **Email** subtab can run the search on a schedule and mail the result, as Oracle's [scheduled email page](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N681274.html) describes: choose a single event or a weekly or monthly repeat, and write the message text under Customize Message. At least one recipient must not be Bcc.

Two ways to name recipients, and the choice decides whether a customer sees another customer's invoices:

- **Specific Recipients.** You pick the addresses. Every non-Bcc recipient gets one email with the full results, so a customer on that list would see every other customer's overdue invoices.
- **Recipients from Results.** You pick a results field that holds an entity or an email. With Summarize Scheduled Emails on, each recipient gets a summary of only the rows that match them. With it off, one email goes per result row.

Oracle says the Recipient Field takes entity and email type fields. On a Transaction search, Name is the entity field, so set Recipients from Results to Name. Test in a sandbox with your own address first, and check that each customer receives only their own rows.

The same page sets the limits: 10,000 rows per email and truncation over 5 MB; one scheduled search at a time per user and up to 200 per account, with clashing schedules put on hold.

Inactive searches do not run; production schedules do not run in Release Preview; "Send if No Results" can be turned off; attachments are CSV, XLS or Tableau.

For a written message per customer with no add-on, Oracle's route is a scheduled workflow with a Send Email action, and its [statements page](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N1300518.html) says that needs deep NetSuite customization knowledge. For a balance view, see [NetSuite customer statements](https://www.paidnice.com/blog/netsuite-customer-statements).

## What should you automate after the search?

After a NetSuite saved search finds the overdue invoices, the reminder levels, the stop on payment, the reply and the promised date still need a person or a tool, because a scheduled search only emails a results table.

A saved search finds who to follow up. It does not send levels of reminders, stop when a payment posts between runs, read a reply or pause for a promised date.

The search re-evaluates only when it runs, so a customer who pays on Tuesday is still in Friday's results. The 30, 60 and 90 day messages, replies, promised dates, [finance charges](https://www.paidnice.com/blog/netsuite-finance-charges) and SMS stay with a person. One email a week is not a sequence:

**Getting paid takes more than one message.** Once an overdue invoice is being chased, it takes 2 to 3 follow-ups after the due date on average to get paid (median 2). A follow-up is any reminder, SMS, escalation, late fee email or statement sent after the due date.

### What Paidnice adds on NetSuite

| Job | Scheduled saved search | Paidnice on NetSuite |
| --- | --- | --- |
| Find who to follow up | Yes, on its schedule | Yes, continuously from the two-way sync |
| Reminder levels | One email, one message | Reminder policies by customer group, from your own domain |
| Stop when paid | At the next run only | A payment applied in NetSuite stops the reminders at the next sync; Paidnice reads changed records continuously |
| The reply | Lands in someone's inbox | Paidnice reads the reply and drafts the answer for a person to approve; a promise to pay pauses reminders until the promised date |
| Late fees | Not in the search | Posted to NetSuite as invoices, Pending Approval or Open |
| Customers at 4 or more overdue | A Count column | Routed to an owner as an escalation task |

Paidnice connects to NetSuite on the Custom plan through a custom implementation, and an implementation specialist handles setup. Customers, contacts, invoices, Customer Payments, Credit Memos and custom fields sync both ways, and NetSuite OneWorld subsidiaries are supported. Paidnice applies the same exclusions your search needs: Open status only, with representing-entity customers excluded at scoping.

Custom is quoted for your setup: the ERP connection, your invoice volume and support. There are no plan limits, and it is never priced by your revenue.

Keep the saved search as the quickest view of the ledger inside NetSuite. Put the reminders on [Paidnice for NetSuite](https://www.paidnice.com/integrations/netsuite), compare the tools in [credit control software for NetSuite](https://www.paidnice.com/blog/credit-control-software-netsuite), and see the stages in the [collections process guide](https://www.paidnice.com/blog/ar-collections-process-guide).

## NetSuite overdue invoice search: common questions

Short answers on finding overdue invoices with a NetSuite saved search, the duplicate-row fix, emailing customers from a scheduled search, and what the search cannot do after it runs.

**How do I find overdue invoices in NetSuite?** Create a Transaction saved search with Type = Invoice, Main Line = Yes, Amount Remaining greater than 0 and Due Date before today.

**Can a NetSuite saved search send an email to customers?** Yes. Oracle's recipient page lists customers and contacts among the recipient types, and what arrives is a table of results, not a reminder letter. Test in a sandbox that each customer receives only their own rows before you schedule it.

**Why does my overdue invoice search show duplicate rows?** Without Main Line = Yes, a Transaction search returns one row per invoice line. Add Main Line is true to the criteria and each invoice appears once.

**How do I stop a scheduled search emailing customers who have paid?** You cannot stop it between runs. The search re-runs on its schedule and only then drops a paid invoice. Paidnice stops the reminders at the next sync after the payment is applied in NetSuite. It reads changed records continuously, so the window is the sync cycle, not the search schedule.

**Can a saved search replace the Dunning Letters SuiteApp?** It finds invoices and emails a table. It has no levels, no pause reasons and no record of the follow-up. See [NetSuite dunning](https://www.paidnice.com/blog/netsuite-dunning) for what the SuiteApp adds and where it stops.

**Can the same search list invoices due in the next 7 days?** Copy the search and set the Due Date row to **within**, relative, From 0 days from now, To 7 days from now, keeping the other criteria. Oracle's [search filter tips](https://docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_N645835.html) describe the within operator and relative ranges.
