## Summary

The QuickBooks AI agent for overdue invoices is Payments AI, which proposes personalized invoice reminders that you can review and edit. Intuit's plan table adds it at Essentials, and higher plans include everything in Essentials. A receivables app adds the steps after the reminder: reading the customer's reply, logging the promised date and holding the next reminder.

- **What Payments AI does:** Intuit says Payments AI proposes personalized invoice reminders, and that you can review and edit AI-drafted reminders.
- **Which plan:** Intuit's AI page adds Payments AI at the Essentials plan and says access to each agent depends on your plan.
- **What an app adds:** Paidnice reads the customer's reply, logs the promised date against the invoice and drafts the answer for approval.

The overdue list in QuickBooks Online is longer than it was last month, so you are searching for a QuickBooks AI agent to follow it up. You have company: Intuit's own report found that [59% of small businesses have invoices overdue by 30 days or more](https://quickbooks.intuit.com/r/small-business-data/small-business-late-payments-report-2026/), up from 47% a year earlier. Here is what Intuit's AI does with overdue invoices, and what still needs a follow-up.

## What is a QuickBooks AI agent?

**A QuickBooks AI agent is one of the AI assistants built into QuickBooks Online, each focused on one area of the business, such as accounting, payments, customers, finance, payroll, or sales tax.**

Intuit's [AI accounting page](https://quickbooks.intuit.com/ai-accounting/) says each AI focuses on a specific area and that your access to the agents depends on your plan. The [help overview](https://quickbooks.intuit.com/learn-support/en-us/help-article/accounting-bookkeeping/overview-agents-quickbooks-online/L9irCAtK4_US_en_US) lists them by name: Accounting AI, Customer AI, Payments AI, Project Management AI, Finance AI, Payroll AI, Sales Tax AI, and Business Tax AI.

For overdue invoices, Payments AI is the one that matters. The wider picture is in [what AI can and cannot do across accounts receivable](https://www.paidnice.com/blog/can-ai-do-accounts-receivable).

## What does the QuickBooks AI agent do with overdue invoices?

**Payments AI learns your business and proposes personalized invoice reminders. Intuit says you can review and edit any AI-drafted reminder.**

On its [AI accounting page](https://quickbooks.intuit.com/ai-accounting/), Payments AI "learns your business and recommends strategies, proposing personalized invoice reminders." The [launch release](https://investors.intuit.com/news-events/press-releases/detail/1258/intuit-introduces-ground-breaking-virtual-team-of-ai-agents-to-fuel-growth-for-businesses), which calls it the Payments Agent, adds three more jobs:

- **It predicts late payments.** Intuit calls these "tailored acceleration strategies that predict late payments."
- **It tracks invoices.** The release says the agent will "automate invoice tracking."
- **It proposes reminders.** It can "create and send invoices and reminders."

QuickBooks Online also has a built-in reminder schedule, which, [per Intuit's help article](https://quickbooks.intuit.com/learn-support/en-us/help-article/invoicing/send-invoice-reminders-automatically-manually/L84cQjpxo_US_en_US), can send email reminders up to 90 days before or after the due date. The setup is in [QuickBooks Online automatic invoice reminders](https://www.paidnice.com/blog/quickbooks-online-automatic-invoice-reminders).

## Which QuickBooks plans include the Payments AI agent?

**Intuit's plan table adds Payments AI at Essentials, and each higher plan starts with everything in the plan below, so Plus and Advanced include it too.**

On the [plan comparison](https://quickbooks.intuit.com/ai-accounting/) there, Essentials carries the line "Gets you paid faster with Payments AI."

## Can you turn off the QuickBooks AI agent?

**Intuit's help article says there is currently no way to turn off its AI features individually.**

The same [help overview](https://quickbooks.intuit.com/learn-support/en-us/help-article/accounting-bookkeeping/overview-agents-quickbooks-online/L9irCAtK4_US_en_US) says the AI works with your permission and that you are always in control of what it does.

## Can ChatGPT or Claude act as a QuickBooks AI agent?

**Yes. Intuit's connector lets Claude and ChatGPT work with QuickBooks Online, and its help article says Claude emails a payment reminder for an outstanding invoice after you confirm.**

The [Claude connector article](https://quickbooks.intuit.com/learn-support/en-us/help-article/accounting-bookkeeping/use-quickbooks-connector-claude/L3YBlo6Ht_US_en_US) lists that reminder among the actions Claude can take, and notes the Claude connector is "currently available to US customers only." Intuit's [announcement](https://www.intuit.com/blog/news-social/quickbooks-expands-into-claude-and-chatgpt-with-new-sales-invoicing-payroll-and-lending-features/) lists "Send reminders on overdue invoices" among the invoicing actions in Claude and ChatGPT and says "every action remains reviewable and human-verified."

A chat assistant works on the invoices and text you point it at in that conversation, and sends the reminder you ask for when you ask for it. A reminder schedule that runs over weeks lives in QuickBooks Online or in a receivables app. To try it, here is [how to connect Claude to QuickBooks Online](https://www.paidnice.com/blog/claude-skills-for-quickbooks).

## What should a QuickBooks AI agent do when a customer replies to a reminder?

**It should read the reply, find the invoice, record the promised date, PO number or dispute, hold the next reminder, and draft the answer for a person to approve.**

Most replies to a reminder are one of three things, and each one changes what happens next:

- **A payment date.** Log the promised date on the invoice and pause the reminders until it passes. [What to do when a customer replies to a payment reminder](https://www.paidnice.com/blog/customer-reply-payment-reminder) covers the reply itself, and [what to do when a promise to pay is broken](https://www.paidnice.com/blog/broken-promise-to-pay) covers the date going by with no payment.
- **A PO number request.** Ask the person who raised the order, add the PO to the invoice when it arrives, and draft the resend.
- **"This invoice is wrong."** Open a dispute, pause the reminders while it is open, and find out the reason. [How to handle a disputed invoice](https://www.paidnice.com/blog/handle-disputed-invoice) has the steps.

💡 Paidnice insight

With "Skip when payment promised" switched on in Paidnice, the next reminder waits until the promised date, so a customer who has named a date is not chased again before it.

## What should you check before choosing an AI agent for overdue QuickBooks invoices?

**Check six things: whether it reads replies, records a promised date, holds the next reminder, covers invoices already overdue, shows who approves each send, and follows your late fee rules.**

Six questions for any AI that chases QuickBooks invoices

- Does it also read the customer's reply?
- Does it record a promised payment date on the invoice?
- Does it hold the next reminder until that date has passed?
- Does it chase invoices that were already overdue before you turned it on?
- Who approves what reaches the customer: you, a rule you set, or nobody?
- Does it follow your late fee and payment terms for each customer?

Use the same six questions to [compare QuickBooks receivables apps](https://www.paidnice.com/blog/best-accounts-receivable-software-quickbooks). For question 6, start with [how late fees work in QuickBooks Online](https://www.paidnice.com/blog/can-i-add-a-late-fee-in-quickbooks-online), then check that the AI applies the fee automatically and waives it only when you decide to.

## What does Paidnice add to QuickBooks Online for overdue invoices?

**Paidnice connects to QuickBooks Online and uses AI to write each reminder, read the replies and log promised dates, with approval you control.**

When you connect, Paidnice picks up the invoices that were already open, so the overdue list you have today is covered from day one. The AI writes each reminder from the account itself: the invoice, the customer's other open invoices, recent payments, and any late fee coming. Reminders can carry a pay link, as described in [Stripe and PayPal payment links on QuickBooks invoices](https://www.paidnice.com/blog/quickbooks-stripe-paypal-payment-links).

You set each policy, the credit control schedule for a group of customers, to run in one of two ways: Active, which sends on schedule, or Draft, which holds its actions for your approval. Safe Mode holds every send while you look. Setup takes under 15 minutes: connect QuickBooks Online, approve the draft policies, and you are live.

💡 Paidnice insight

Reply drafts wait for approval, and you can pre-approve the types of reply you trust so they do not need approving one by one.

## Questions about QuickBooks AI agents

Is there an AI that works with QuickBooks?

Yes. Intuit builds AI agents into QuickBooks Online, including Payments AI for invoice reminders, and apps such as Paidnice connect to QuickBooks Online to handle overdue invoices: writing reminders, reading replies, and logging promised dates. See [accounts receivable automation for QuickBooks](https://www.paidnice.com/quickbooks/accounts-receivable).

Can AI take over QuickBooks?

AI in QuickBooks Online handles routine tasks and drafts. [Intuit says](https://quickbooks.intuit.com/ai-accounting/) you can review and edit AI-drafted messages, estimates, reminders, or bills, and that its AI never replaces your accountant's expertise.

Can QuickBooks Online chase overdue invoices automatically?

Yes, with its reminder setting. You can [schedule email reminders up to 90 days before or after the due date](https://quickbooks.intuit.com/learn-support/en-us/help-article/invoicing/send-invoice-reminders-automatically-manually/L84cQjpxo_US_en_US), for invoices you have already emailed from QuickBooks Online. [QuickBooks Online automatic invoice reminders](https://www.paidnice.com/blog/quickbooks-online-automatic-invoice-reminders) shows the setup step by step.
