2. ### Every client group with a balance gets one statement on the day you choose: every entity, every open fee invoice, one total and a link to pay.[Explore statements →](https://www.paidnice.com/automated-customer-statements)
3. ### Paidnice adds the interest or late fee your engagement letter allows, on the schedule you set. Your best clients can stay exempt.[Explore late fees →](https://www.paidnice.com/late-fees)
4. ### Paidnice reads each client reply, logs the promise or the question and drafts the next step. A person at the firm approves each draft before it is sent.[Explore reply handling →](https://www.paidnice.com/ai-accounts-receivable)
5. ### When reminders run out, the client's relationship owner gets a call, letter or stop credit task, with the full fee and payment history attached.[Explore escalations →](https://www.paidnice.com/escalations)
6. ### Clients see every open fee invoice and pay by card or bank, or split an invoice into a payment plan. No login needed.[Explore the portal →](https://www.paidnice.com/customer-payment-portal)

## Built for how accounting firms get paid

### The whole client group settles from one statement.

The operating company, holding entity and family trust see one consolidated balance, so the group pays it in one go.

- Every entity's open fees on one statement
- Interest on the overdue balance recalculated at send

### Overdue year-end fees earn interest, per your engagement letter.

Paidnice charges interest on the whole overdue balance at your rate, so your engagement letter terms actually apply.

- Set per client group
- Your best clients can stay exempt
- Posts to Xero or QuickBooks

The [NatWest Accountancy Benchmarking Report 2024](https://www.natwest.com/business/insights/sector-trends/professional-and-business-services/the-accountancy-trends-shaping-2024.html) puts debtor days at 66 for small UK firms.

### Large year-end fees split into installments clients can manage.

Split one large fee invoice into installments, and Paidnice moves the due date to each and reminds the client first.

- Saved card or bank charged when Stripe is connected
- A missed installment makes the fee overdue again
- On Pro and above

## Know what is coming in, and who to call first

Paidnice turns your ledger into answers: the fees due this week, the clients who pay late and the accounts a partner should call.

- Expected payments, week by week, from your ledger
- A credit score for every customer, from how they pay
- Aged receivables for each customer, at a glance
- A weekly report emailed to your team

## Keep the practice software your team already runs

Keep billing from your practice software exactly as you do now. Once its invoices sync to Xero or QuickBooks Online, Paidnice picks them up and runs the rest.

- **Invoices sync over**Each invoice your practice software pushes to Xero or QuickBooks Online reaches Paidnice with its customer, amount and due date.
- **Nothing to re-enter**No import, no second ledger and no new invoicing tool. Paidnice works from the invoices already in your accounting.
- **Payments land back**Payments taken through Paidnice are recorded against the invoice in your ledger, so your books stay current.

> It’s the debt collection system I’ve been looking for, for the last 15 years.

## How it works for accountants and bookkeepers

Does Paidnice work with Xero Practice Manager?
Yes, many accounting firms we serve bill through Xero Practice Manager, Karbon, Ignition or FYI. Those tools push the approved invoice into Xero or QuickBooks, and Paidnice picks it up from there. Nothing changes about how you raise bills or run jobs. Connect the ledger once and every fee invoice, monthly or annual, joins the chasing schedule automatically.

Can an accounting firm charge late fees or interest on overdue invoices?
Many accounting firms in the US charge interest on overdue fees when the engagement letter allows it. Rules vary by state, so check your letter and your state board's guidance first. Paidnice does the mechanical part: it calculates interest per client, posts it to the ledger, and shows it on every statement. Whether and how much to charge stays your call.

How does Paidnice know which invoices to chase?
It reads the invoices already sitting in your firm's Xero or QuickBooks ledger. Anything Xero Practice Manager, Karbon or Ignition has pushed across is fair game, whether it went out this morning or has been overdue since tax season. You choose which clients and which invoice types join the schedule, and you can pull any single invoice out by its reference.

Will automated chasing upset our clients?
Accounting firms keep the relationship because the reminder reads as routine billing: your own domain, your own words, your tone. An approval step holds every message for partner sign-off until you switch a policy to automatic. Many clients pay on the first polite nudge; the partner only appears at the end of the ladder, when the relationship needs a human anyway.

Can we run different policies for monthly and annual clients?
Yes, many accounting firms split clients into groups: monthly fixed-fee bookkeeping, annual tax-only, and a few legacy hourly clients, and each group runs its own reminder ladder, statement day and interest policy at the same time. A new client inherits the group policy the moment their first invoice lands.

What does Paidnice cost for accountants and bookkeepers?
Accounting and bookkeeping firms start on Essentials from US$69, £49 or A$99 a month, priced by invoice volume, not revenue. There are no contracts, and your first 20 actions are free.

## Stop writing personal collection emails on Friday afternoons.

Connect Xero or QuickBooks and Paidnice prepares draft policies for you. Nothing runs until you approve them.
