## From the day you send it to the day it is paid

Every stage runs on your payment terms, automatically or after you approve it.

1. ### General contractors get a reminder before, on and after each pay application falls due, by email and text, from your own domain. They reply or pay from the link.[Explore reminders →](https://www.paidnice.com/email-sms-reminders)
2. ### Every general contractor with a balance gets one statement on the day you choose: every pay application, change order and retainage invoice, one total and a link to pay.[Explore statements →](https://www.paidnice.com/automated-customer-statements)
3. ### Paidnice posts the interest or late fee your contract allows to the ledger, on your schedule, so it lands in the payables run. Key contractors can stay exempt.[Explore late fees →](https://www.paidnice.com/late-fees)
4. ### Paidnice reads each contractor reply, logs the promise or the question and drafts the next step. Your team approves each draft before it is sent.[Explore reply handling →](https://www.paidnice.com/ai-accounts-receivable)
5. ### When reminders run out, a named person, then the owner, gets a call, letter or stop credit task, with the payer's full history attached.[Explore escalations →](https://www.paidnice.com/escalations)
6. ### General contractors see every open invoice and pay by card or bank, or split an invoice into a payment plan. No login needed.[Explore the portal →](https://www.paidnice.com/customer-payment-portal)

## Built for how construction companies get paid

### Pay apps reach accounts payable, reminders reach the project manager.

Send each pay application to the general contractor's accounts payable inbox, and reminders and statements to the project manager.

- Several contacts and addresses per contractor
- Replies stay in one email thread
- Later reminders can come from a named director

### Hold one disputed pay application and keep chasing the rest.

The contractor queries one invoice, policies set to skip open queries pause on it, and other invoices keep their schedule.

- Or your team logs reason, details and next action
- Choose which policies pause on an open query
- Warning icon on the disputed invoice

### The late fees in your contract, actually applied.

Interest or a late fee posts to the ledger, so it lands in the general contractor's payables run.

- Interest on the whole overdue balance
- Or a fee on one late pay application
- Set per group, so key contractors stay exempt

In the UK government's [Pye Tait retentions research](https://assets.publishing.service.gov.uk/government/uploads/system/uploads/attachment_data/file/654399/Retention_Payments_Pye_Tait_report.pdf), 71% of contractors holding retentions reported retention money paid late. ## Know what is coming in, and who to call first

Paidnice turns your ledger into answers: the pay applications due this week, the contractors who pay late and the retainage that needs a person.

- Expected payments, week by week, from your ledger
- A credit score for every customer, from how they pay
- Aged receivables for each customer, at a glance
- A weekly report emailed to your team

## Keep the job software your team already runs

Keep billing from your job software exactly as you do now. Once its invoices sync to Xero or QuickBooks Online, Paidnice picks them up and runs the rest.

- **Invoices sync over**Each invoice your job software pushes to Xero or QuickBooks Online reaches Paidnice with its customer, amount and due date.
- **Nothing to re-enter**No import, no second ledger and no new invoicing tool. Paidnice works from the invoices already in your accounting.
- **Payments land back**Payments taken through Paidnice are recorded against the invoice in your ledger, so your books stay current.

> It’s the debt collection system I’ve been looking for, for the last 15 years.

## How it works for construction

Does Paidnice work with Buildertrend?
Yes, many construction companies run Paidnice alongside Buildertrend. Buildertrend pushes your invoices into QuickBooks Online or Xero and Paidnice reads them from the ledger, so the two never touch. The same holds for Procore and Knowify on QuickBooks Online. You keep billing from the job software as you do now, and Paidnice picks up the chasing, statements and late fees once the invoice lands.

Can a construction company charge late fees on overdue invoices?
Many construction companies do, when the subcontract or trade-account terms include a late-fee or interest clause. Paidnice applies the terms you already have: a flat or percentage fee on the overdue pay application, or interest on the whole balance, posted to QuickBooks or Xero as a draft or an approved invoice. Rates and rules vary by state and by contract, so check what your agreement allows.

How does Paidnice know which invoices to chase?
It reads the construction invoices already sitting in your QuickBooks or Xero: pay applications, change orders, retainage lines, anything raised as an invoice with a due date. When a pay application is marked paid or partly paid, the chasing updates on its own. There is nothing to import and no second system for the office to keep current.

What does Paidnice cost for construction companies?
For construction companies, Paidnice Essentials starts at US$69, £49 or A$99 a month, priced by invoice volume rather than revenue. There are no contracts, and your first 20 actions are free before you pay anything.

What happens when a general contractor disputes one pay application?
A construction company can pull one disputed pay application out of the reminder run by its reference, and every other invoice keeps getting chased. A disputed change order sits quietly, with the dispute notice attached to its note. When the dispute settles, add it back and its reminders start again.

What happens after the last reminder?
The chasing gets firmer, the way construction companies actually escalate. The sender moves from accounts@ to a named person to the owner, statements pull the whole balance onto one page, and Paidnice raises call tasks so someone phones before things get formal. Every send and task is logged, a clean record of the account if you ever need one.

## Stop financing the general contractor's project with your payroll.

Connect Xero or QuickBooks and Paidnice prepares draft policies for you. Nothing runs until you approve them.
