## From the day you send it to the day it is paid

Every stage runs on your payment terms, automatically or after you approve it.

1. ### Owners get a reminder when the grace period ends, then at each step the board sets, by email and text, from the association's own domain. They reply or pay from the link.[Explore reminders →](https://www.paidnice.com/email-sms-reminders)
2. ### Every owner with a balance gets one statement of account on the day you choose, listing dues, special assessments and fees with a running balance.[Explore statements →](https://www.paidnice.com/automated-customer-statements)
3. ### Paidnice adds the late fee or interest your adopted collection policy sets, to every owner the same way, posted as its own ledger line.[Explore late fees →](https://www.paidnice.com/late-fees)
4. ### Paidnice reads each owner reply, logs the promise or the question and drafts the next step. Your manager or treasurer approves each draft before it is sent.[Explore reply handling →](https://www.paidnice.com/ai-accounts-receivable)
5. ### When reminders stop working, the manager or treasurer gets a call or letter task with the owner's full history. Attorney referral stays a board decision.[Explore escalations →](https://www.paidnice.com/escalations)
6. ### Owners see every open assessment and pay by card or bank, or split an invoice into a payment plan. No login needed.[Explore the portal →](https://www.paidnice.com/customer-payment-portal)

## Built for how community associations get paid

### The adopted collection policy, applied to every owner the same way.

Paidnice applies the late fee or interest your policy sets to every owner alike, as your covenants expect.

- Late fees, interest or early payment discounts
- Set once per owner group
- Posted as its own ledger line

In California, [Civil Code 5655](https://california.public.law/codes/civil_code_section_5655) requires each owner payment to clear assessments first, then fees, late charges and interest.

### Payment plans that bring delinquent owners back to current.

Split a large or special assessment into installments, and Paidnice moves the due date to each one and reminds the owner first.

- The board sets the limits on every plan
- Saved card or bank charged when Stripe is connected
- A missed installment makes the dues overdue again

### Every owner gets a statement of account, every month.

Owners see exactly what they owe before they call the manager, because the statement sends itself each month.

- Dues, special assessments and late fees listed
- Running balance on one page

## Know what is coming in, and who to call first

Paidnice turns your ledger into answers: the dues coming in this week, the owners who pay late and the accounts the board should review.

- Expected payments, week by week, from your ledger
- A credit score for every customer, from how they pay
- Aged receivables for each customer, at a glance
- A weekly report emailed to your team

## Keep the QuickBooks or Xero your team already runs

Keep billing from your QuickBooks or Xero exactly as you do now. Once its invoices sync to Xero or QuickBooks Online, Paidnice picks them up and runs the rest.

- **Invoices sync over**Each invoice your QuickBooks or Xero pushes to Xero or QuickBooks Online reaches Paidnice with its customer, amount and due date.
- **Nothing to re-enter**No import, no second ledger and no new invoicing tool. Paidnice works from the invoices already in your accounting.
- **Payments land back**Payments taken through Paidnice are recorded against the invoice in your ledger, so your books stay current.

> It’s the debt collection system I’ve been looking for, for the last 15 years.

## How it works for HOAs and community associations

We bill dues from QuickBooks Online. Does Paidnice work with that?
Yes: HOAs that raise dues and assessments in QuickBooks Online are exactly who this page is for, and it works the same from Xero. You keep billing from QuickBooks the way you do now; Paidnice connects to it, reads the open assessments, and runs the reminders, late fees, statements and payment portal from there. Nothing about your bookkeeping moves or changes.

Can an HOA charge late fees on delinquent dues?
Yes, when the association's governing documents or state law provide for it, and Paidnice applies whatever fee the board has adopted, flat or percentage, to every delinquent assessment on the same schedule, posted on the QuickBooks or Xero ledger. Check your covenants and state statute for the amounts allowed. Paidnice does not give legal advice.

Can the treasurer approve everything before it sends?
Yes: every reminder, late fee and statement can wait in a queue until the treasurer or community association manager clicks OK. Once the board trusts the schedule, let it run automatically, and the policy stays exactly what the board adopted.

What if the board approves a payment plan for an owner?
Paidnice runs the HOA hardship plan for the board: set the installment amounts and dates, and with Stripe connected it collects each one by card or ACH autopay and records every payment against the right assessment in QuickBooks or Xero. A missed installment puts the owner back on the normal reminders.

What does Paidnice cost for HOAs?
HOAs and community associations start on Essentials from US$69, £49 or A$99 a month, priced by invoice volume, not revenue. There are no contracts, and your first 20 actions are free.

What happens when an owner stays delinquent after the last reminder?
A person decides, with the HOA owner's full history in front of them: Paidnice assigns the delinquency to the manager or treasurer so the board can choose the next step, a payment plan, an amenity hold, or referral to the association's attorney. Paidnice is not a collection agency and stops before legal action.

## Stop letting paying owners carry the ones who don't.

Connect Xero or QuickBooks and Paidnice prepares draft policies for you. Nothing runs until you approve them.
