Read the announcement ## Paidnice pricing questions How much does Paidnice cost? Paidnice pricing is set in the currency you prefer. Paidnice holds fixed prices in USD, GBP, EUR, AUD, CAD, NZD and ZAR, so the amount you see is the amount you are charged, with no exchange rate added on top. In US dollars, Essentials starts at US$69 a month, Pro plans start at US$99 a month, and Custom plans start at US$999 a month. Is there a free trial? Yes. Your first 20 actions are free, with no time limit and no credit card. An action is anything Paidnice does for you: an email sent, an SMS sent, a late fee added or an escalation created. There is no separate trial period, so the free actions do not expire. What counts toward my invoice limit? The new invoices that go through your business each month. Quotes and estimates count as invoices too. If you send 150 invoices and 100 quotes a month, the Pro 300 plan is the right fit. What counts as an email? Every email Paidnice sends: reminders, statements, late fee and discount notices, and quote or estimate reminders. Emails about invoices that were already on your books count too. If you send a statement to 500 customers, that uses 500 emails. Do the invoices already on my books count toward my plan limit? No. Your plan limit counts the new invoices your business raises each month. When you connect Xero or QuickBooks Online, Paidnice picks up the invoices that are already open and starts chasing them, and those do not use your invoice allowance. The emails it sends about them do count toward your email allowance. Which features are only on Pro? Essentials covers email and SMS reminders, email engagement tracking, statements, parent-child customers, debtor reporting, late fees and interest, prompt payment discounts and escalation workflows. Pro adds sending from your own email domain, sender profiles, payment plans, calls from Paidnice with transcripts, multi-currency support, webhook integrations, multiple entities and priority support. How much do SMS reminders cost? SMS reminders are charged for each message sent, at US$0.10. Like every Paidnice price, SMS is charged in the currency you pay in, at a fixed rate set for that currency and region. You can cap SMS sending in the app. Do you charge per user? No. There are no per-seat fees in any currency. Essentials includes 2 team members, and Pro and Custom include unlimited users. How does billing work for more than one company? Each plan covers one Xero organisation or QuickBooks Online company. On Pro, each additional entity is US$29 a month, charged in the currency you pay in at the fixed price for that currency, and all entities share one invoice and email allowance. Accountants and bookkeepers can pay for several clients on one account. Can I pay annually? Paidnice plans are billed monthly by default. Get in touch if you would like to pay annually, and we will set it up in the currency you pay in. Can I change my plan later? Yes. Move up to a larger plan whenever your invoice volume grows, and your allowances go up straight away. What is your cancellation policy? Paidnice is month to month. There are no contracts and no lock-ins, and you can cancel at any time with no penalty. Is Paidnice easy to set up? Yes. Most teams are live in under 15 minutes. Connect Xero or QuickBooks Online, pick your policies, and test in Safe Mode before anything sends. What apps does Paidnice integrate with? Xero, QuickBooks Online and Stripe, plus any tool that accepts webhooks, such as Zapier and Make. Custom plans add ERP integrations such as NetSuite, Dynamics and Sage. Can I have a demo? Yes. Paidnice is accounts receivable automation for small and mid-sized businesses on Xero and QuickBooks Online. It enforces your payment terms automatically: reminders from your own domain, late fees and interest on overdue invoices, payment plans and escalation when accounts stay unpaid. Credit control and debtor management, run for you. You stay the good guy. Paidnice plays the collector. Who is Paidnice for? Small and mid-sized businesses that send invoices from Xero or QuickBooks Online and want to be paid on time without chasing each invoice manually. Accountants and bookkeepers also run it for their clients. Is Paidnice a debt collection agency? No. Paidnice is software your team uses to run its own credit control and debtor management. Reminders go out on behalf of your business, on the terms you set. Paidnice charges a monthly subscription and takes no commission on the money you collect. Which accounting software does Paidnice work with? Paidnice connects to Xero and QuickBooks Online. When you connect, it also picks up invoices that are already open. It works with Stripe, HubSpot, Zapier and more. See all integrations. What does Paidnice automate? Email and SMS reminders, scheduled customer statements, late fees and interest, prompt payment discounts, quote reminders, payment plans, and escalations for manual follow-up, with calls made from Paidnice and transcribed on Pro. Your customers pay through a self-service payment portal, and reports track Days Sales Outstanding and aged receivables. Do I have to charge late fees? No. Late fees and interest are optional, and you decide which customers they apply to. Paidnice works just as well for reminders and statements on their own. How long does it take to set up? You can be live in under 15 minutes. Connect Xero or QuickBooks Online, pick a preset automation template and switch it on. Our team can help you set it up. How much does Paidnice cost? Signing up is free, your first 20 actions are free and you do not need a credit card. See pricing. Why did I get an email sent with Paidnice? A business you buy from uses Paidnice to send its invoice reminders and statements. The email is about an invoice that business sent you. Reply to the email with any question, and the business answers it. How do I stop the reminders? Reply to the email to agree a payment date or to raise a question about the invoice. Only the business that sent the invoice can pause or stop its reminders. Who makes Paidnice? Paidnice was founded in 2022 by Denym Bird, Ashley Schroder and Jack Daffron. Founded 2022 in Auckland. From US$69 a month, no contracts." url: https://www.paidnice.com/about-us --- # Wouldn't it be great to get paid on time, all the time? Paidnice is accounts receivable automation software for businesses on Xero and QuickBooks Online. Here is why we built it. The idea was born out of our own frustration in previous businesses we ran: payments slowed down for all sorts of reasons. The biggest of which is that most accounting platforms are really great at doing the ledger, but not very good at doing the chase. So we set out to build the system we needed. It sent every reminder on time, applied the late fees the terms already promised, and never forgot an invoice. The wait for payment halved. In 2022 that system became Paidnice. This isn't new ground for us. We've worked on finance apps for many years, so we understand the problems behind late payments well. We're on a mission to end late payments. Businesses on Xero and QuickBooks around the world run their receivables through Paidnice: reminders, late fees, interest, statements, payment plans and escalation. In their first 30 days, they see half as many late invoices. Your payment terms are only words on a PDF until something enforces them. Paidnice brings them to life. We built it for ourselves first. ## What Paidnice does Six results customers get from Paidnice on Xero and QuickBooks. 50%fewer late invoices in the first 30 days40%lower DSO on average8 in 10invoices paid within the first 60 days of using Paidnice - ### [Get paid on time and keep the relationship](https://www.paidnice.com/reminder-software) Reminders read like a person wrote them, reach the right person at each customer, and stop when the invoice is paid.Email and SMS, with email from your own domain - AI-written and rotating email versions - Pauses for payment promises and open disputes ### [Payment terms that enforce themselves](https://www.paidnice.com/late-fees) Paidnice posts late fees and interest into Xero or QuickBooks, so a broken payment term has a cost. - Repeat fees while an invoice stays unpaid - UK statutory interest on the Bank of England base rate - Different terms for each customer group ### [Customers settle up on their own](https://www.paidnice.com/customer-payment-portal) Reminders link to a portal with your branding, where customers see what they owe and pay without a login or a phone call. - Card, ACH, BACS or direct debit - Self-serve payment plans - Payment promises and disputes ### [Every reply moves the invoice forward](https://www.paidnice.com/credit-control-ai) Paidnice reads each customer reply and drafts the next step for a person to approve or revise. - Payment plans that customers ask for by email - Updated PO numbers and resent invoices - Contact details updated from replies ### [No overdue invoice slips through](https://www.paidnice.com/escalations) Overdue invoices become cases with a named owner and the full payment history. - Calls, credit stops and legal letters - Alerts when a payment promise is broken - Team alerts in Slack or Microsoft Teams ### [Know when the cash will land](https://www.paidnice.com/accounts-receivable-reporting) Paidnice predicts when each invoice will be paid from how that customer actually pays you. - Week-by-week payment forecast - A 0 to 100 credit score on every customer - Which reminders get invoices paid within 7 days Some features are settings you switch on, and some need the Pro plan or above. Source: https://www.paidnice.com/credit-control-software ## What is credit control software? **Credit control software automates the work of getting invoices paid on time: reminders, statements, late fees and interest, online payments and reporting, run from your accounting software.** Each job, in short: - **Reminders:** emails and texts before and after the due date. - **Statements:** a summary of every open invoice, sent on a schedule. - **Late fees and interest:** the charges your terms allow, after a grace period. - **Payments:** a portal where customers pay online, with payment plans. - **Reporting:** ageing, DSO and who pays late. **Automated credit control** means these steps run on a schedule from your ledger, and stop when the invoice is paid. A person steps in only when an account stalls. Paidnice does this for UK businesses on Xero and QuickBooks Online from £49 a month, with statutory interest, a payment portal and no per-seat fees, and payment plans on Pro from £74. ## Which type of credit control software fits your business? Credit control software automates the work of getting invoices paid on time. It sends reminders, applies late fees and interest, sends statements and escalates overdue accounts. Paidnice is credit control software for Xero and QuickBooks Online. It enforces your payment terms on every invoice. ### What is automated credit control? Automated credit control means reminders, statements, late fees and escalation run on a schedule from your ledger, with no manual steps. A person steps in only when an account stalls. ### What is credit control in the UK? Credit control in the UK is how a business makes sure customers pay on the terms it agreed: credit limits, reminders, statements and late payment charges. The Late Payment of Commercial Debts (Interest) Act 1998 backs it by giving a business the right to charge statutory interest on late business debts. Paidnice runs the reminders, statements and statutory interest from Xero or QuickBooks Online. ### What is the credit control process? The credit control process runs from the invoice to the payment: a courtesy reminder before the due date, a reminder on the due date, a firmer reminder with a statement, a late payment charge after your grace period, then escalation to a person for a call, Stop Credit or a formal letter. Paidnice runs each step on your schedule. ### How much does credit control software cost? UK credit control software runs from £8 a month for statements only, £45 to £599 a month for small-business chasing on fixed tiers, £199 to £899 a month by turnover band, £20 to £51 a user for Sage Accounting, Sage 50 and Xero add-ons, and quote only at the top. Paidnice Essentials is £49 a month for 150 invoices, and Pro tiers run up to £599 a month with unlimited users, priced by invoice volume, not revenue. Your first 20 actions are free, with no card. See [pricing](https://www.paidnice.com/pricing) and [credit control software pricing](https://www.paidnice.com/blog/credit-control-software-pricing). ### What are the two main methods of credit control? Proactive credit control works before the due date: clear terms, a reminder before the invoice is due and an easy way to pay. Reactive credit control starts after the due date: overdue reminders, late payment charges and escalation. Paidnice runs both on one schedule. ### What are the tools of credit control? The main tools are payment terms, reminders, customer statements, late payment fees and interest, payment plans, credit limits and escalation such as a call, a formal letter or Stop Credit. Paidnice runs each of these from your Xero or QuickBooks invoices. ### Does credit control software calculate UK late payment interest? Yes. Paidnice charges statutory interest at Bank of England base rate plus 8% under the Late Payment of Commercial Debts (Interest) Act 1998, and can add the fixed compensation of £40, £70 or £100 as a line item. You can lock the base rate for each six-month period, or follow it as it changes. Try the [statutory interest calculator](https://www.paidnice.com/uk/statutory-interest-calculator), or see [late payment fees in the UK](https://www.paidnice.com/blog/late-payment-fees-uk). ### Does credit control software work with Sage? Paidnice connects Sage Intacct and Sage Accounting on the Custom plan, set up by our implementation specialist, with other cloud ERPs. Desktop products such as Sage 50 and Sage 200 are not supported. Xero and QuickBooks Online connect on every plan. See [credit control software for Sage Accounting](https://www.paidnice.com/blog/credit-control-software-sage-accounting). ### What is the difference between credit control software and outsourced credit control? An outsourced credit controller chases overdue invoices for you, and you pay for their time. Credit control software does the same jobs automatically, from the invoices in Xero or QuickBooks, and you keep every rule and message. ### What is a credit controller, and do you need a qualification? A credit controller chases overdue invoices, agrees payment dates, applies late payment charges and escalates accounts that do not pay. The law does not require a qualification, and the Chartered Institute of Credit Management (CICM) offers recognised ones. Credit control software takes over the repeat steps, so the credit controller can focus on calls and stalled accounts. See [credit control](https://www.paidnice.com/dictionary/credit-control). ### Will reminders stop when an invoice is paid? Yes. Paidnice stays in sync with Xero and QuickBooks Online, so a reminder stops as soon as the invoice is paid. You can also skip reminders when a customer has promised a payment date, or while a query is open. ### Can I set different credit control rules for different customers? Yes. Exclude any customer or a whole group, add grace periods and set different rules for each group, so the customers who pay on time are left alone. Run each policy automatically, or hold its actions for your approval. ### Will automated chasing damage my customer relationships? You stay in control of every message. Reminders go out in your own words and branding, and from your own email domain on the Pro plan. On Paidnice, 8 in 10 invoices are paid within the first 60 days. Escalation is for the accounts that still do not pay. ## Related - [Credit control for Xero](https://www.paidnice.com/xero/credit-control): How it works in your Xero organisation - [Credit control for QuickBooks](https://www.paidnice.com/quickbooks/credit-control): How it works in QuickBooks Online - [Credit management software](https://www.paidnice.com/credit-management-software): Credit limits, scores and Stop Credit - [AI credit control](https://www.paidnice.com/credit-control-ai): Where AI reads replies and drafts the next step - [Credit control software compared](https://www.paidnice.com/blog/credit-control-software-compared): The options side by side - [Credit control without a credit controller](https://www.paidnice.com/blog/credit-control-without-credit-controller): How small teams run it ===== # Page: https://www.paidnice.com/accounts-receivable-software ===== # Accounts receivable software that gets invoices paid Paidnice chases every unpaid invoice in **Xero and QuickBooks Online** by email, SMS and WhatsApp until it is paid. It depends on your accounting system and how much time you spend chasing. Built-in reminders in Xero or QuickBooks suit a few invoices a month and customers who pay on time. Once you chase invoices every week, an add-on such as Paidnice adds statements, late fees and interest, a payment portal and escalation to the same invoices, from US$69 a month. See [the best accounts receivable software by business type](https://www.paidnice.com/blog/best-accounts-receivable-software). ### What are accounts receivable in a business? Accounts receivable is the money customers owe a business for goods or services it has invoiced and not yet been paid for. It shows as an asset on the balance sheet. Accounts receivable software makes sure that money comes in on time. ### How much does accounts receivable software cost? Paidnice plans start from US$69 a month and follow your invoice volume. Pro has the full core feature set and unlimited users, from US$99 a month for 300 invoices to US$799 a month for 4,000. ERPs and custom integrations are on the Custom plan. See [pricing](https://www.paidnice.com/pricing). ### Is there free accounts receivable software for small business? Xero and QuickBooks Online include basic invoice reminders in your plan. Paidnice adds statements, late fees, a payment portal and escalation, and your first 20 actions are free, with no time limit and no credit card. ### Do I need accounts receivable software if I use QuickBooks or Xero? Xero and QuickBooks keep your invoices and send basic reminders. Xero does not add late fees, and QuickBooks Online only adds the fee to the existing invoice, with no email to the customer. Neither is built to run different rules for each customer group, read replies or escalate an account that stops paying. Paidnice adds those jobs on top of the invoices you already keep there. ### How do I choose accounts receivable software? Start with your ledger: the software should sync both ways, so a payment stops the reminders on that invoice. Then list the jobs you do each week, such as statements, late fees and calls, and check that it runs each one on your terms. The six checks above cover the rest. Paidnice connects to Xero or QuickBooks Online in under 15 minutes. ### What is the difference between accounts receivable software and accounting software? Accounting software keeps the ledger: your invoices, payments and balance sheet. Accounts receivable software works on the unpaid part of that ledger and gets it paid. Paidnice posts payments and late fees back to Xero or QuickBooks, so your ledger stays the one record. ### Can AI do accounts receivable? AI can write reminders, read customer replies and draft the next step. In Paidnice, an Active policy sends its reminders on schedule, including the ones AI writes, and a Draft policy holds each one for your approval. Reply drafts wait for your approval, unless you pre-approve that type of action for a customer. AI can also look into a dispute and propose the next step for you to approve or change. See [AI reply handling](https://www.paidnice.com/ai-accounts-receivable). ### What is an accounts receivable portal? An accounts receivable portal is a page where customers see every open invoice and pay online. Paidnice gives each customer a branded portal. They open it from the link in a reminder or statement and pay with no login. Payment plans are on Pro and above. ### How does accounts receivable software reduce DSO? It follows up every invoice on time, makes paying easy and adds a cost to paying late. Paidnice customers have a 40% lower DSO on average than when they started. ### How do you calculate DSO? Divide accounts receivable by credit sales for the period, then multiply by the number of days in the period. A business that is owed $50,000 after $150,000 of credit sales in 90 days has a DSO of 30 days. Paidnice reports DSO and aging from your Xero or QuickBooks invoices. See [days sales outstanding](https://www.paidnice.com/dictionary/days-sales-outstanding). ### Does Paidnice integrate with my accounting software? Yes. Paidnice connects to Xero and QuickBooks Online through their official integrations. Invoices, customers and payments stay in sync, so a reminder stops when the invoice is paid. ERPs such as NetSuite connect on the Custom plan. ### Can I control which customers get contacted? Yes. Source: https://www.paidnice.com/debtor-management-software ## What is debtor management software? **Debtor management software, also called a debtor management system or debtor tracking software, tracks who owes you money and follows up for you.** It works from your debtors ledger and covers five jobs between the invoice and the payment: - **Reminders:** emails and texts before and after the due date. - **Statements:** a summary of every open invoice, sent on a schedule. - **Late fees and interest:** the charges your terms allow, after a grace period. - **Payments:** a portal where customers pay online, with payment plans. - **Reporting:** aging, DSO and who pays late. Paidnice runs all five from the invoices already in your Xero organisation or QuickBooks account, with different rules for each customer group. ## Debtor management vs debt collection Three kinds of software use the word "debtor": debtor management software for business invoices, debt collection software for agencies, and consumer debt apps for personal debts. | Type | Who it is for | What it does | Where it stops | | --- | --- | --- | --- | | Debtor management software (Paidnice) | Businesses that invoice other businesses on terms | Reminders, statements, late fees, a payment portal and escalation, from your own invoices in Xero or QuickBooks Online | Needs Xero or QuickBooks Online. Other ledgers need the Custom plan. | | Debt collection software | Collection agencies and recovery teams | Case files, agency workflows and compliance for debts handed over for recovery | Starts after you have given up on the debt | | Consumer debt apps | People paying off their own debts | Budgets and personal repayment plans | Not for business invoices | **What it costs:** Paidnice starts from US$69, £49, A$99, NZ$109 + GST or R1,100 a month, priced by invoice volume. Pro, with the full core feature set, starts from US$99, £74, A$139, NZ$149 + GST or R1,600. Your first 20 actions are free. See [pricing](https://www.paidnice.com/pricing). ## What to do with each aged debtor An aged debtor is a customer with an invoice past its due date. An aged debtor report groups what each customer owes by how late it is: current, 1 to 30, 31 to 60, 61 to 90 and over 90 days. Paidnice runs a different step at each age. | Age | Typical action | In Paidnice | | --- | --- | --- | | Current | Courtesy reminder before the due date | Scheduled reminder | | 1 to 30 days overdue | Reminder and statement | Email and SMS, then a statement with a payment link | | 31 to 60 days overdue | Late fee and a call | Fee or interest posted, escalation task created | | 61 to 90 days overdue | Firm escalation | Phone call or Stop Credit, assigned to a person | | Over 90 days | Final notice | Template legal letter, printed and posted on request on Pro and above | Each customer group runs its own policy, so you set the step and the timing for each age. They need every debtor followed up on their terms, without hiring one or handing the debt to an agency. - **Runs on your own invoices:** Paidnice reads every invoice from Xero or QuickBooks Online and posts payments back - **Follows up from the due date:** so fewer debts reach an agency - **Built for business invoices:** B2B payment terms, statements and late fees, not personal repayment plans ## How Paidnice manages your debtors ### Reminders by email, SMS and WhatsApp Before it is due. Debtor management is how a business gets the customers it has invoiced on credit to pay on time: clear terms, reminders, statements, late fees and escalation. It is the usual term in Australia and New Zealand for what the UK calls credit control and the US calls accounts receivable management. Debtor management software runs these steps from your Xero or QuickBooks Online invoices. See [debtor management, defined](https://www.paidnice.com/dictionary/debtor-management). ### Is debtor management the same as debt collection? No. Debtor management follows up your own business customers while you still keep the relationship: reminders, statements, late fees and escalation. Debt collection starts when a debt is handed to an agency for recovery. Paidnice is debtor management software. ### Which debtor management software works with Xero? Paidnice connects to your Xero organisation through the official Xero integration and was the global Xero Small Business App of the Year in 2025. It also works with QuickBooks Online. See [debtor management for Xero](https://www.paidnice.com/xero/debtor-management). ### Does Paidnice work for businesses in Australia and New Zealand? Yes. Paidnice was Xero Small Business App of the Year in Australia in 2025 and in New Zealand in 2026. You pay in your own currency, from A$99 or NZ$109 a month (NZ prices exclude GST), and SMS reminders use dedicated sending routes for Australia and New Zealand. See the guides for [Australia](https://www.paidnice.com/blog/debtor-management-software-australia) and [New Zealand](https://www.paidnice.com/blog/debtor-management-software-new-zealand). ### Is a debtor management system the same as credit control software? They describe the same job: getting the money you are owed, on time. A debtor management system focuses on tracking and following up debtors. Credit control software covers the wider process, from payment terms to collections. Paidnice does both. ### Which debtor management software suits accountants and bookkeepers? Choose one that connects to each client's Xero organisation or QuickBooks account and runs on its own after setup. Paidnice Pro has unlimited users, so the accountant and the client's team work in the same account. See [credit control software for accountants](https://www.paidnice.com/blog/credit-control-software-accountants). ### How does automated debtor management cut debtor days? Debtor days, also called DSO, is the average number of days your customers take to pay. Paidnice follows up every debtor on the same schedule and gives customers a portal to pay from, so no overdue invoice waits for someone to notice it. Paidnice customers have a 40% lower DSO on average than when they started. See [days sales outstanding](https://www.paidnice.com/dictionary/days-sales-outstanding). ### How much does debtor management software cost? Paidnice Pro has the full core feature set and unlimited users, from US$99 a month for 300 invoices to US$799 a month for 4,000. Plans start from US$69, £49, A$99, NZ$109 (excluding GST) or R1,100 a month, priced by invoice volume. Your first 20 actions are free, with no credit card. See [pricing](https://www.paidnice.com/pricing). ### How long does setup take? Under 15 minutes. Connect Xero or QuickBooks, then review and approve the draft policies Paidnice prepares for you. Nothing runs until you approve them. ### Does it work with the invoices I have already sent? Yes. Paidnice reads the invoices already in Xero or QuickBooks, including the ones that are overdue now. You can follow up existing overdue invoices, apply late fees in bulk, and either update existing invoices or issue fees as new invoices. ### Can my customers pay directly through Paidnice? Yes. Every reminder includes a payment link, and your customers get a self-service portal where they can view, download and pay invoices. Payments are recorded against the invoice in Xero or QuickBooks. ### Will follow-up damage my customer relationships? You control every message. Reminders send from your own email address on Pro, in your own words and branding. Exclude specific customers or whole groups and add grace periods. Run each policy automatically, or hold its actions for your approval. ### How does Paidnice connect to my accounting data? Through the official Xero and QuickBooks integrations. Nothing changes in your accounting system unless a rule you set makes it happen. ## Related - [Debtor management for Xero](https://www.paidnice.com/xero/debtor-management): How it works in your Xero organisation - [Credit control software](https://www.paidnice.com/credit-control-software): The UK term for the same job - [Debtor management software in Australia](https://www.paidnice.com/blog/debtor-management-software-australia): For Australian businesses - [Debtor management software in New Zealand](https://www.paidnice.com/blog/debtor-management-software-new-zealand): For New Zealand businesses - [Debtor management software in South Africa](https://www.paidnice.com/blog/debtor-management-software-south-africa): For South African businesses - [Debtor management](https://www.paidnice.com/dictionary/debtor-management): The term, defined ===== # Page: https://www.paidnice.com/dunning-software ===== # Invoice dunning software that runs on your schedule Paidnice chases overdue B2B invoices in **Xero and QuickBooks Online**, step by step, until each one is paid. Source: https://www.paidnice.com/dunning-software ## What is dunning software? **Dunning software automates the steps a business takes to collect overdue invoices.** For B2B invoices, that means five jobs: - **Reminders:** a schedule of emails and texts, each with its own day and tone. - **Dunning fees:** a late fee or interest at the step you choose. - **Statements:** every open invoice in one document, with a link to pay. - **Dunning letters and escalation:** a final notice or letter before action, printed and posted on request on Pro and above, or a call or Stop Credit assigned to a person. - **Stop rules:** every later step stops when the invoice is paid, and can pause while a payment is promised or a query is open. Subscription businesses use "dunning" for retrying a failed card payment. Paidnice is B2B dunning software for invoices on payment terms, and it does not retry card payments. ## B2B invoice dunning vs subscription dunning Both are called dunning. They solve different problems with different tools. | Type | Best for | What it does | Where it stops | | --- | --- | --- | --- | | B2B invoice dunning (Paidnice) | B2B businesses that invoice on payment terms in Xero or QuickBooks Online | Reminders on a schedule, late fees and interest, statements, dunning letters and escalation to a person | Needs Xero or QuickBooks Online, or another cloud ledger on the Custom plan. Does not retry card payments | | Subscription dunning | Subscription businesses that bill a card every month | Retries failed card payments and asks customers to update their card | Does not chase invoices on payment terms | | Built-in reminders in Xero or QuickBooks | A few invoices a month | Basic invoice reminders | No escalation, no posted letters and no fees in Xero. QuickBooks Online in the US can add a fee to the invoice only | ## Run the full dunning schedule, step by step An example dunning schedule, also called a dunning campaign, with five levels. You set the day, channel and template for each level, for each customer group. | Day | Step | Channel | Tone | | --- | --- | --- | --- | | 3 days before due | Courtesy reminder | Email | Friendly | | Due date | Due date reminder | Email and SMS | Clear | | 7 days overdue | Firm reminder | Email and SMS | Firm | | 14 days overdue | Dunning fee or interest | Added to the invoice or raised as a new invoice in Xero or QuickBooks Online, with an optional email to the customer | Firm | | 30 days overdue | Final notice and escalation | Letter or phone call, assigned to a person | Formal | | When paid | Every later step stops | Synced from Xero or QuickBooks Online | | Each email step uses your template or is written by AI from your prompt. Steps pause while a payment is promised or a query is open, and stop for any customer or invoice you freeze. ## Dunning letters, printed and posted On Pro and above, Paidnice prints and posts overdue letters, final notices and letters before action for US$2.00 a letter, print and postage included. We turn it on when you ask. | Letter | When | Price | | --- | --- | --- | | Overdue letter | Any step you choose | US$2.00 a letter, print and postage included | | Final notice | The last step of your schedule | US$2.00 a letter, print and postage included | | Letter before action | After the final notice | US$2.00 a letter, or solicitor-signed, priced case by case by country | A solicitor-signed [letter before action](https://www.paidnice.com/blog/letter-before-action-template) is priced case by case by country. Letters are posted in the US, Canada, the UK, the EU, Australia, New Zealand, Singapore, Hong Kong and South Africa. ## Paidnice is dunning software for small business Most small businesses on Xero or QuickBooks Online do not need an enterprise collections platform. They need every overdue invoice chased on a schedule, without someone sending each reminder. - **Built for invoices on terms:** Paidnice chases invoices from Xero or QuickBooks Online, not failed card payments - **More than built-in reminders:** a schedule with late fees, statements, dunning letters and escalation - **Stops on its own:** every later step stops when the invoice is paid ## How Paidnice automates dunning ### Late fees and interest Once it is late. Dunning software automates the steps a business takes to collect overdue invoices: reminders on a schedule, dunning fees and interest, statements, dunning letters and escalation to a person. ### Is dunning only for subscriptions? No. Subscription businesses use dunning to retry failed card payments. B2B dunning chases invoices on payment terms, and that is the kind Paidnice does for Xero and QuickBooks Online. ### What is automated dunning? Automated dunning is dunning software sending each step on its day, with no one pressing send: reminders, fees, statements and the handover to a person. In Paidnice, an Active policy runs every step on schedule from your Xero or QuickBooks Online invoices. ### Does Paidnice retry failed card payments? No. Paidnice does not retry failed subscription charges. For invoices, every reminder has a link to pay, and the portal takes card or bank debit, or a payment plan. ### Can AI write dunning emails? Yes. Paidnice can write each reminder with AI from your prompt when it sends, using the invoice, the customer's other open invoices, recent payments and any fee coming. Run the policy as Active and AI-written reminders send on schedule, or as Draft and each one waits for your approval. You can also pre-approve the types of reply and action you trust. See [AI reply handling](https://www.paidnice.com/ai-accounts-receivable). ### What are dunning fees? Dunning fees are charges added to an overdue invoice to cover the cost of collection and to encourage on-time payment. They can be flat late fees, percentage fees or interest. Paidnice adds each one to the overdue invoice, or raises it as a new invoice, in Xero or QuickBooks Online on the day it is due. ### Can Paidnice send dunning letters? Yes. Any escalation step can use a template legal letter, from an overdue letter to a letter before action. On Pro and above, Paidnice can print and post it for you. See [collection letter templates](https://www.paidnice.com/blog/collection-letter-templates). ### Does dunning stop when the invoice is paid? Yes. Paidnice stays in sync with Xero and QuickBooks Online, so the next step does not send once the invoice is paid. Steps can also pause when a payment date is promised or a query is open. ### How much does dunning software cost? Paidnice Pro has the full core feature set and unlimited users, from US$99 a month for 300 invoices to US$799 a month for 4,000. Plans start from US$69 a month, priced by invoice volume. Your first 20 actions are free. See [pricing](https://www.paidnice.com/pricing). ### Can I control which customers get contacted? Yes. Exclude any customer or a whole group, freeze a single invoice, add grace periods and set different rules for each group, so the customers who pay on time are left alone. ### Does it change anything in my Xero or QuickBooks? Nothing changes unless a rule you set makes it happen. Paidnice connects through the official Xero and QuickBooks integrations. ## Related - [The dunning process](https://www.paidnice.com/blog/dunning-process): Every step, explained - [Dunning](https://www.paidnice.com/dictionary/dunning): The term, defined - [Collection letter templates](https://www.paidnice.com/blog/collection-letter-templates): Letters for each stage - [Late fees and interest](https://www.paidnice.com/late-fees): Set the fee for each step - [Credit control software](https://www.paidnice.com/credit-control-software): The wider process - [Escalations](https://www.paidnice.com/escalations): Calls, letters and Stop Credit ===== # Page: https://www.paidnice.com/late-fees ===== --- title: "Automate Late Fees & Interest for Xero & QuickBooks - Paidnice" description: "Late fee software for Xero and QuickBooks. Paidnice calculates each charge from your Xero or QuickBooks invoices and applies it at the right time, for every customer group. ### Set the charge once, and it applies itself Choose a fixed fee, a percentage or interest a year, then a grace period. Paidnice adds each charge as its own fee invoice or as a line on the overdue invoice, and can repeat it every set number of days while the invoice stays unpaid. ### One policy, applied to every invoice that meets it Paidnice drafts the late charges ahead of the run date, alongside your reminders and statements. On the day it checks each invoice again, drops any that were paid, and applies the rest. ### A fee per invoice, or one interest charge a month Charge a fee on each overdue invoice, or statement interest once a month: one invoice with an interest line for every overdue invoice and the days it was late. Or run both. ### UK statutory interest and compensation For UK customers, Paidnice charges statutory interest at the Bank of England base rate plus your percentage, locked for each six-month period or following changes. The £40, £70 or £100 statutory compensation goes on as its own line. ### A late fee is a real invoice in your ledger Each charge is saved as Draft or Approved in Xero or QuickBooks. Once approved, it reaches your customer’s accounts payable like any other invoice, shows on statements and ages in your receivables until it is paid. ### Grace periods, promises and disputes Nothing is charged until the grace period ends. Switch on skip when promised or skip while a query is open and the fee waits, and any charge can be waived. ## What customers say about automated late fees > “Before Paidnice, we didn't really enforce late fees on invoices because it was an administrative nightmare. Late fee software calculates, applies and announces the late fee on each overdue invoice. Paidnice reads your Xero or QuickBooks invoices, waits out your grace period, adds the charge to the ledger and can email the customer. Can I apply late fees to invoices that are already overdue? Yes. Charges can be applied in bulk to the invoices that are overdue today, as well as to invoices that go overdue from now on. Can I charge different customers different rates? Yes. Late fee policies sit on customer groups, so each group runs its own rule. A tag excludes one customer without moving them out of their group. Can a late fee repeat each month? Yes. Switch on Repeat late fee and choose how often, such as every 30 days. Paidnice charges again each time the invoice is still unpaid, and stops when it is paid. How do I remove a late fee? Waive or credit the charge in Paidnice. To stop future charges for one customer or one invoice, use a tag or the invoice reference filter, and every other reminder carries on. Freezing an invoice or a contact stops every policy on it, reminders included. What happens if a customer does not pay the late fee? The charge is on the ledger, so it ages like any other receivable. It shows on statements and follows the same reminder and escalation rules as the original invoice. How are late fees recorded in QuickBooks and Xero? Each charge posts to the income account you choose, with its own description and tax rate. You choose if it saves as Draft or Approved. Can I charge statutory interest in the UK? Yes. Paidnice applies the Bank of England base rate plus your percentage, locked for each six-month period or following the rate as it changes, and adds the £40, £70 or £100 fixed compensation as its own line item. [See how the base rate updates](https://www.paidnice.com/blog/auto-update-bank-of-england-interest-rate). Do late fee invoices count toward my plan? No. Your plan counts the new invoices you create each month. Late fee invoices that Paidnice raises are not counted. Automated payment reminders are emails and text messages that go to customers on a schedule, before and after an invoice is due. Paidnice reads your Xero or QuickBooks invoices and sends each reminder on the day your policy sets, so nobody has to chase manually. Can Paidnice send payment reminders by SMS? Yes. SMS goes to any valid mobile number worldwide, with dedicated sending routes for the US, UK, Australia and New Zealand. In the US you register nothing with the carriers: Paidnice sends from its own registered numbers. [More on SMS reminders](https://www.paidnice.com/sms-payment-reminders). Do reminders come from my own email address? On the Pro plan, yes. Verify your domain once and send from accounts@yourdomain.com or from a named person on your team. Essentials sends from a Paidnice address. Does Paidnice chase invoices that are already overdue? Yes. When you connect Xero or QuickBooks, Paidnice picks up the invoices that are already open, so overdue invoices can be chased as soon as you approve your reminder policies. Can different customers get different reminders? Yes. Each customer group runs its own reminder policy, and a tag makes an exception for one customer without moving them out of the group. Do reminders stop when the customer pays? Yes. Paidnice syncs payments from Xero and QuickBooks and only chases invoices that are still unpaid. Can I see if a customer opened a reminder? Yes. Every email shows if it was delivered, opened, clicked or bounced, and every SMS shows if it was sent, delivered or failed. Which reminder works best? Email performance shows the open rate, the share paid within 7 days, the median days to pay and the money collected for each template, plus the best time of day to send. Can I rotate different reminder wording? Yes. A template can hold several versions, and Paidnice picks one at random each time it sends. Generate with AI writes new versions, and each carries an AI label. Where do customer replies go? Email and SMS replies come back into the customer’s conversation in Paidnice, and email replies stay in the same thread as the reminder, so your team can answer from there. Can reminders go to a different person from the invoice? Yes. A customer can have several people on file, and you choose who gets the invoice, who gets reminders and who gets statements. Many larger customers want the invoice in their AP portal and the reminders with the person who manages the account. What does SMS cost? SMS is on every plan, including Essentials, and each message is billed at a flat price, for example US$0.10 or £0.05. A customer statement, or statement of account, lists every open invoice a customer has with you, what they have paid and the balance they owe. Paidnice builds it from Xero or QuickBooks and sends it automatically on your schedule. Can Paidnice send statements automatically for Xero and QuickBooks? Xero sends statements when someone sends them. Paidnice sends Xero statements on a schedule for you. Can Paidnice send statements from QuickBooks Online? Yes. Paidnice reads your QuickBooks Online invoices and sends each customer a statement on the schedule you set, with a pay button for the balance. How often can statements go out? On any schedule, weekly or monthly, on the days you choose. Monthly (Weekdays) moves a send that falls on a weekend to the next weekday. Can I add interest to a statement? Yes. Statement interest charges a rate on the customer’s whole overdue balance and is calculated again on the day the statement sends. It is on every plan, from Essentials. [See late fees and interest](https://www.paidnice.com/late-fees). Can a head office get one statement for all its branches? Yes. Parent customers get one statement that includes the invoices of each child account, in Xero and QuickBooks. Do credit notes and prepayments show on the statement? They can. Set each credit type to ignore, show, or show and deduct it from the totals. What is an activity statement? An activity statement lists every invoice, credit note and payment in a period, with a running balance. An outstanding statement lists only the invoices still open. Paidnice can send either, or both. Can I send statements as Excel or CSV files? Yes. Each statement goes out as a PDF, and can also go as an Excel or CSV file for customers who reconcile in a spreadsheet. Can customers pay straight from the PDF statement? Yes. The PDF carries a Pay now link for the balance, so the customer can pay from the statement itself. Can I change what the statement shows? Yes. Describe the layout to the statement designer, such as a PO number column or an aged balance, and preview each change on sample data before you publish it. Can I leave some customers out? Yes. Put them in a customer group with no statement policy, or use a tag. You can also send statements only to customers with overdue invoices, or above a minimum amount. ## Meet the team that built Paidnice Book a call with the founders to learn more about how Paidnice can help you take the pain away from getting paid. Payment plan software splits an unpaid invoice into installments and collects each one on its date. Paidnice does this on your Xero and QuickBooks invoices, sends a reminder before each installment and can charge it with Autopay. How do I offer a payment plan to a customer? Create the plan from the invoice in Paidnice, or let customers build their own in the customer portal inside the limits you set. [Read how to offer a payment plan on an overdue invoice](https://www.paidnice.com/blog/payment-plan-for-overdue-invoices). What happens if a customer misses an installment? The invoice becomes overdue again, like any other overdue invoice. Your normal reminders, escalations and late fees or interest then apply from that date. Can installments be charged automatically? Yes. With Stripe connected, customers switch on Autopay in the portal and each installment is charged on its date. Without Stripe, customers pay each installment themselves. Can I charge a fee for a payment plan? Yes. Add an establishment fee as a percentage or a fixed amount. It posts to its own revenue account and is spread across the installments. Does a payment plan change the invoice in Xero or QuickBooks? Paidnice adds a zero-value line that lists the schedule and moves the due date to the next installment. The invoice total only changes if you add a plan fee. How often can installments be? Weekly, every 2 weeks, every 4 weeks, monthly, every 2 months or quarterly. Try the [payment plan calculator](https://www.paidnice.com/calculators/payment-plan-calculator) to compare schedules. Which plans include payment plans? Payment plans are on the Pro plan and above, for Xero and QuickBooks Online. Paidnice adds it, can email the customer a pay link at the new total, and removes it on time. ### A discount on every new invoice Choose a percentage or a fixed amount. Nobody has to remember to change it. ### Set who qualifies and when the offer ends One rule decides which invoices qualify, counted from the issue date. A prompt payment discount, or early payment discount, is a small reduction a customer gets for paying an invoice early, such as 2% off if paid within 7 days. Paidnice adds it to new Xero and QuickBooks invoices and removes it when the offer expires. [Read more about early payment discounts](https://www.paidnice.com/blog/what-is-an-early-payment-discount). How do you calculate a prompt payment discount? Multiply the invoice total by the discount rate. A 2% discount on a $2,480.00 invoice is $49.60, so the customer pays $2,430.40. Try the [early payment discount calculator](https://www.paidnice.com/calculators/early-payment-discount-calculator). What is a typical early payment discount? A common term is “2/10 net 30”: 2% off if paid within 10 days, with the full amount due in 30. What happens when the discount expires? Paidnice removes the discount line, and the invoice goes back to its original total in Xero or QuickBooks. Does the discount apply to invoices I have already sent? A new policy applies to new invoices. You can choose all new invoices or only those not yet sent from your ledger, and process one older invoice manually. How is the discount recorded in Xero or QuickBooks? As a line on the invoice, posted to the account and tax rate you choose, with a description you can edit to show the expiry date. Can I use discounts and late fees together? Yes. Each customer group can run a prompt payment discount for paying early and a late fee for paying late. [See late fees and interest](https://www.paidnice.com/late-fees). ## Meet the team that built Paidnice Book a call with the founders to learn more about how Paidnice can help you take the pain away from getting paid. Escalating an overdue invoice means moving it from automatic reminders to a person or a firmer action, such as a phone call, a stop on credit or a legal letter. Paidnice creates the escalation on the day your policy sets and assigns it to the right person. When should an overdue invoice be escalated? Escalate once reminders stop getting a reply. In Paidnice you set the day for each customer group, and you can also escalate on the customer’s total balance or a credit limit breach. What kinds of escalation can Paidnice create? A phone call, a stop on credit, a legal letter from your template, or your own type. Each one is assigned to a person or to the invoice or contact owner, listed on the Escalations page and emailed to the address you choose. Can I call a customer from Paidnice? Yes. Press Call on the customer page and choose a number. Talk from your browser, or Paidnice rings your phone and connects you to the customer. When the call ends, Paidnice shows the transcript, and you save it to the customer’s timeline as a logged call. Calling is on the Pro plan and above. [See in-app calling](https://www.paidnice.com/in-app-calling). Can I escalate an invoice manually? Yes. Raise an escalation from any invoice or customer, choose the type, add instructions and assign it. The customer shows as Escalated until it is done. Can an escalation create a task in Asana, Jira, Slack or Teams? Yes. Paidnice sends a webhook when an escalation is created, assigned, completed or canceled, so it can become a task or a message in the tools your team uses. Our team can build that step for you. [See task management](https://www.paidnice.com/integrations/task-management). Do notes and call outcomes go back to Xero? Yes. Notes and call outcomes sync to the invoice in Xero, and files on a note can be pushed to Xero as attachments. Can Paidnice send letters by post? Yes. Paidnice prints and posts overdue letters, final notices and letters before action, at US$2.00 a letter in the US and £1.50 in the UK, printing and postage included. Letters are on the Pro plan and above, switched on when you ask. Which plans include escalations? Every plan, including Essentials. Calling from Paidnice and webhooks to other tools are on Pro and above. A customer payment portal is a web page where your customers see what they owe you and pay it. The Paidnice portal shows every open invoice from Xero or QuickBooks under your brand, with the statement, paid invoices and quotes, and takes payment on the page. Do customers need a login? No. Customers open the portal from a secure, unique link in any reminder or statement, and can bookmark it. Turn on Secure Portal Mode if you want customers to confirm their email first, and their browser stays verified for 30 days. How can customers pay? By card, ACH, BACS or direct debit through Stripe, and the payment finishes on the portal itself. Pinch, Cloud Depot and your own payment link are other options. [See the Stripe integration](https://www.paidnice.com/integrations/stripe). Can customers pay several invoices at once? Yes. Customers tick the invoices they want to pay, or pay the whole balance, in one payment. Part payments work too if you allow them. Can I pass card fees on to the customer? Yes. With Stripe you can set a processing fee for cards and a separate one for direct debit, each as a percentage, a flat amount or both, posted to their own accounts, where your local rules allow it. What can a customer do if they cannot pay today? From the invoice page they can promise to pay on a date, query the invoice, or create a payment plan on Pro when the invoice is eligible. A promise can pause reminders until that date, and a query can pause them until it is resolved. Does the portal work with QuickBooks Online? Yes. The portal and Stripe payments work with QuickBooks Online and with Xero. Can customers add their own PO number? Yes. Turn on PO uploads and customers can add or update the PO number for an invoice in the portal. ## Meet the team that built Paidnice Book a call with the founders to learn more about how Paidnice can help you take the pain away from getting paid. You connect your Xero organisation through Xero’s own sign-in, so Paidnice never sees your password. Paidnice reads your invoices, contacts and payments, sends reminders and statements on your terms, and posts late fees back to Xero. When a payment lands in Xero, the reminders for that invoice stop. Does Xero have accounts receivable automation? In part. Xero sends up to five email reminders on one set of rules and has Aged Receivables reports. It does not send statements on a schedule, apply late fees or interest, or run payment plans. Paidnice adds those to your Xero data. Where do I find accounts receivable in Xero? In the Aged Receivables Summary and Detail reports under Reporting, and in the invoices awaiting payment under Sales. Paidnice reads the same data and acts on it. What is the best accounts receivable app for Xero? Paidnice won Global Small Business App of the Year at the Xero App Awards 2025 and NZ Small Business App of the Year in 2026, and is rated 5.0 on the Xero App Store. What does Paidnice write back to Xero? Late fee and interest charges, as a fee invoice or a line on the overdue invoice, Draft or Approved. Payment plans are written onto the invoice as a schedule. How much does Paidnice cost for Xero? Your first 20 actions are free, with no card needed. Paid plans start at US$69 a month and are priced by the number of new invoices you create each month. See pricing. Is my Xero data safe with Paidnice? Paidnice connects through Xero’s official authorisation, so you never share your Xero login, and you can disconnect it from Xero at any time. Nothing is sent to a customer until you approve the policy. ## A team that has your back Talk to the people who build Paidnice. You connect your QuickBooks Online company through the official QuickBooks sign-in, so Paidnice never sees your password. Paidnice reads your invoices, customers and payments, sends reminders and statements on your terms, and posts late fees back to QuickBooks. Does QuickBooks Online have accounts receivable automation? In part. QuickBooks Online has A/R aging reports, up to three email reminders per invoice and, in US companies, a basic late fee. It does not send statements on a schedule, send SMS reminders, run payment plans on an invoice or escalate an account. QuickBooks already has late fees. Why use Paidnice for them? The QuickBooks late fee is for US companies only, has no interest by the day and sends no notice to the customer. Paidnice adds fees or interest outside the US too, with an email notice and different rules for each customer group. What does Paidnice write back to QuickBooks? Late fee and interest charges, as a fee invoice or a line on the overdue invoice, so your A/R aging stays correct. Payment plans are written onto the invoice. Does Paidnice work with QuickBooks Desktop? No. Paidnice connects to QuickBooks Online. How much does Paidnice cost for QuickBooks? Your first 20 actions are free, with no card needed. It can read customer emails and texts, a contact and their people, an invoice and your organization, and it can update the people on a contact. It finds a customer through their replies, or from a Paidnice ID you paste. With a Xero or QuickBooks connector in the same chat, it can match each reply to the customer’s balance and payments, because Paidnice shares each customer’s Xero or QuickBooks ID. What does In beta mean? We are testing these tools with customers now: one chat across every organization, month-end client packs, cash forecasts, ledger questions, an approval queue, reminders and statements, call logs, promises and disputes, policies by chat, payment plans and escalations. Join the beta with your work email. I manage many organizations. How does that work? Today each connection reaches one Paidnice organization, so you add one connection per client. One chat across every organization you manage is in beta. Can my assistant email or text my customers? Not through Paidnice today. It reads replies and updates the people on a contact. Sending reminders and statements from Paidnice is in beta, with your approval before anything goes out. Can I give my assistant read-only access? Yes. When you connect, you choose Read, or Read and Write. How do I disconnect an assistant? Open Settings, then Advanced, then API & MCP. Every connection shows there with its source and access. Revoke it there to remove the assistant’s access. Which AI tools does it work with? Claude, ChatGPT, Claude Code and any other agent that accepts a remote MCP server as a custom connector. Add https://api.paidnice.com/mcp and sign in to Paidnice. Does it work with Xero and QuickBooks? Yes. Paidnice runs on Xero and QuickBooks Online, and the MCP server reads what Paidnice holds for that organization. If your assistant has a Xero or QuickBooks connector, it can use it in the same chat, alongside Gmail, Outlook or Slack connectors. Intuit’s QuickBooks connector is US only for now, so check what your assistant supports in your region. Which plans include the MCP server? The Pro and Custom plans, along with the public API. See pricing. Is there a REST API as well? Yes. The Paidnice public API uses bearer tokens with read and write scopes, and allows 120 requests a minute for each token. Last updated 19 October 2026 At Paidnice, security is one of our highest priorities. Finance teams, business owners, accountants, and bookkeepers trust us with the data behind their accounts receivable, and protecting that data shapes how we build and operate. Paidnice integrates natively with Xero and QuickBooks Online, and has collected $1 billion on time for its customers across more than 1 million invoices since 2022, and was named the Xero Global Small Business App of the Year 2025. The standards we meet to earn that trust are the standards we apply across our infrastructure, our application, and our team. Our approach is grounded in the security requirements set by Xero and Intuit, aligned with globally recognized frameworks including **ISO 27001** and the **NIST Cybersecurity Framework**, and continuously improving. #### At a glance A quick summary of the controls we operate and how we keep your data safe. | Control | What we do | | --- | --- | | Encryption in transit | TLS 1.2+ on every connection | | Encryption at rest | AES-256 (NIST-aligned) | | Authentication | Two-factor authentication for customer accounts; MFA required for internal access; OAuth 2.0 with Xero and QuickBooks | | Access controls | Role-based permissions for your team; least-privilege internally, instant revocation, periodic reviews | | Hosting and data residency | All infrastructure hosted on **Google Cloud Platform** in the United States. Customer data is stored in the US. | | GDPR | We comply with GDPR and UK GDPR. A [DPA](https://www.paidnice.com/dpa) with Standard Contractual Clauses applies to every customer. | | Data isolation | Logical tenant separation | | Secure development | OWASP Top 10, code review, automated scanning, regular patching | | Penetration testing | Annual independent penetration tests. Beyond those baselines, we benchmark our controls against**ISO 27001** and the **NIST Cybersecurity Framework**. You can read more about how we handle personal information in our [Privacy Policy](https://www.paidnice.com/privacy-policy). ### Key practices **Encryption in transit and at rest** - All data is encrypted in transit using TLS 1.2 or higher. - Customer data is encrypted at rest using AES-256, a NIST-approved standard. - OAuth tokens and API credentials for Xero and QuickBooks are securely stored and managed in line with both platforms' security requirements. **Authentication and access control** - **Multi-factor authentication (MFA)** is required for all internal access to production systems. - We use **OAuth 2.0** to connect to Xero and QuickBooks. Paidnice never sees or stores your accounting platform password. - Role-based access controls enforce the principle of least privilege across our team. - Periodic access reviews ensure only those who need access retain it. - Access can be revoked instantly when staff leave or customers offboard. - **Two-factor authentication** is available for every customer account. - **Role-based permissions** let you choose what each member of your team can see and do in Paidnice. **Hosting and infrastructure** - Production infrastructure runs on Google Cloud Platform (GCP) in the United States, benefiting from Google Cloud’s enterprise-grade physical, network, and infrastructure security. - Google Cloud maintains a broad set of independent compliance certifications and reports, including ISO/IEC 27001, SOC 1/2/3, and PCI DSS for eligible services. - Customer data is logically isolated to maintain tenant separation and integrity. - Production data is backed up regularly and stored redundantly in line with our disaster recovery and availability requirements. Backups inherit the same encryption and access controls as production data. **Data residency** - **Customer data is stored in the United States**, on Google Cloud Platform. - We do not offer UK or EU data residency at this time. - Some sub-processors also process data in Ireland and the European Union. Each provider's data location is listed at [paidnice.com/sub-processors](https://www.paidnice.com/sub-processors). **GDPR and UK GDPR** - **We comply with GDPR and UK GDPR** for our European and United Kingdom customers. - Our [Data Processing Addendum](https://www.paidnice.com/dpa) applies to every customer automatically, with no signature needed. - Transfers of personal data out of the EEA, the UK and Switzerland are covered by the EU Standard Contractual Clauses, with the UK Addendum where it applies. - Paidnice Limited is a New Zealand company. New Zealand holds an EU adequacy decision and a UK adequacy regulation. - We support data subject rights, including access, correction, deletion and data portability. See our [Privacy Policy](https://www.paidnice.com/privacy-policy). **Data handling and minimization** - **We follow strict data minimization.**Paidnice only accesses the subset of accounting data needed to operate reminders, statements, fees, payment plans, escalations, and reporting. - **We do not store full payment card information**. Card processing is handled by Stripe, which is PCI DSS Level 1 certified. - We do not collect health, biometric, or other special category data. - **Customer data is promptly deleted on request**, in line with our retention and compliance obligations. **Secure development and vulnerability management** - Developers follow secure coding standards based on the OWASP Top 10, covering SQL injection, XSS, authentication flaws, and other common vulnerabilities. - Code is peer-reviewed before it ships to production. - Automated security scanning runs on every build, and dependencies are continuously monitored for known vulnerabilities. **Independent penetration testing** - Our 2025 and 2026 audits had **no critical or high findings**. - **Our annual audit reports are available on request.** Email [hello@paidnice.com](mailto:hello@paidnice.com). **Monitoring and audit logging** - Production systems are continuously monitored for anomalies at the network, application, and transaction levels. - Audit logs are maintained securely and retained for traceability and investigation. **Third-party vendors** - We integrate with selected providers for support, analytics, payments, messaging and infrastructure. Our current sub-processor list, with each provider’s purpose and data location, is published at [paidnice.com/sub-processors](https://www.paidnice.com/sub-processors) and forms part of our [Data Processing Addendum](https://www.paidnice.com/dpa). - We evaluate every vendor against high security standards, including data handling, encryption, and recognized credentials such as **ISO 27001** and **SOC 2**. - Integrations are limited to partners that meet strong security and privacy standards. **Employee training and culture** - Every employee completes regular security training covering phishing awareness, secure data handling, and incident reporting. - Engineers receive additional secure-coding training. Security is part of our onboarding and ongoing development cycles. **Compliance alignment** - Our controls are designed in **alignment with ISO 27001** and the **NIST Cybersecurity Framework**. - We comply with GDPR and UK GDPR, and review our practices against them on a regular basis. #### Responsible AI We use AI inside Paidnice to improve workflow efficiency, and we follow best-practice recommendations for responsible AI use. - **No external training.** Customer data is never used to train or fine-tune external AI models. - **Controlled use.** AI is applied to specific automation tasks, with strict boundaries to protect privacy. - **Transparency.** We're open about where AI is used inside the product. - **Human in the loop.** Finance teams and business owners retain control over what gets sent and when. #### Independent accreditations We're accredited by the platforms we integrate with, **each requiring independent review** **of our security practices**. - **Xero App Store partner:**meeting Xero's [Security Standard for App Partners](https://developer.xero.com/partner/security-standard-for-xero-api-consumers) across encryption, authentication, and vulnerability management. - **QuickBooks App Store partner:** meeting [Intuit Developer security and compliance requirements](https://developer.intuit.com/app/developer/qbo/docs/develop/security-and-compliance) for QuickBooks Online integrations. #### Vulnerability disclosure We welcome security reports from the community. If you believe you've found a vulnerability in any Paidnice system, please email [**hello@paidnice.com**](mailto:hello@paidnice.com). We'll investigate promptly and take appropriate action. #### Breach notification In the event of a security incident affecting customer data or integrated third-party services (such as Xero, QuickBooks Online, or other APIs), Paidnice will notify affected customers and partners as soon as reasonably possible, in line with applicable laws. Company directors are accountable for ensuring a timely, transparent response. Paidnice will take all reasonable steps to preserve evidence relevant to the incident, including access logs and system records, to support a thorough investigation. Notifications may be provided by email, in-app message, or public notice depending on the severity and scope. #### Ongoing commitment Security is never finished.
