We're excited to announce the launch of Activity Statements, a powerful new feature designed to give your customers comprehensive insights into their account history. This feature is now available for all Xero users, with QuickBooks Online support coming soon.

What are Activity Statements?

Unlike traditional outstanding statements that only show unpaid invoices, Activity Statements provide a complete picture of your customer's account activity over a specified period. This includes:

  • All invoices created.
  • All payments received.
  • Credit notes issued.
  • Late fees applied.
  • Current balance status.

This comprehensive view helps your customers understand their full transaction history with your business, improving transparency and reducing payment disputes.

How to Enable Activity Statements

Getting started with Activity Statements is simple:

  1. Configure your statement policy: Navigate to your Auto Statement policy settings
  2. Enable the feature: Toggle on "Attach activity statement as PDF"
  3. Customize as needed: You can disable the traditional outstanding statement if you prefer to only send activity statements

Previewing Activity Statements

Want to see what your customers will receive? You can easily preview an Activity Statement for any contact:

  1. Select any contact in Paidnice
  2. Click the "Actions" button in the top right
  3. Select "Download Activity Statement" from the dropdown menu

This lets you review the layout and information before sending statements to your customers.

Setting Custom Date Ranges

Control exactly what period your Activity Statements cover:

  1. Go to Organization Settings > Statement Settings > Activity Statement Preferences
  2. Set your default date range (e.g., "18 months ago" to "Today")
  3. These settings will apply to all generated activity statements

You can even set future dates to include upcoming scheduled invoices, giving customers visibility into what's coming due.
