Paidnice automates invoice reminders, tracks accounts receivable and recovers overdue payments from the invoices already in your Xero organisation. Reminders, statements, late fees and escalation run on the terms you set.

New Zealand businesses are paid in 23.2 days on average, 5.1 days after the due date, June 2026, from our own New Zealand payment times research built on Xero Small Business Insights. The national average is the easy part.
Manufacturing waits 33.7 days while hospitality waits 13.2 days, and Hawke's Bay waits 28.7 days against 19.0 days in Manawatu-Whanganui. A sector or a region running at double the national wait does not need a crisis plan. It needs the same follow-up every week.
New Zealand sets no statutory late payment interest rate for business-to-business invoices, so a fee or interest charge rests on your terms of trade and the amount should be reasonable. The detail sits in our post on late fees in New Zealand.
If an account has to go further, the Disputes Tribunal now hears claims up to $60,000, raised from $30,000 on 24 January 2026, with a $468 filing fee above $30,000 (justice.govt.nz).
Email and SMS reminders go out from your own address, in business hours, in your words. Start in approval mode so nothing sends until you approve it.
"Being able to send all communications directly from my own domain, everything looks fully branded and professional, with delivery tracking built in."
A fixed fee, a percentage or a per annum rate, with a grace period before anything applies. The charge is raised on the ledger in Xero, as a draft or approved invoice.
"First round of late penalties and everyone magically paid their bill."
Statements go out weekly or monthly with a payment link. Accounts still open are escalated to a call, a credit stop or a legal letter, assigned to a person.
"Within 1 week of implementing this tool we received a tidal wave of cash from overdue receivables."

Audit. Connect your Xero organisation. Read your current debtor days and your oldest ageing buckets, so you know which customers and which sectors carry the wait.
Configuration. Set reminder timing before and after the due date. Set the grace period. Set the fee or interest the account rests on, from your terms of trade, and put customers into groups that get different rules.
Automation. Turn on the pre-due and overdue triggers, start in approval mode so you see each action first, then let it run. See the wider process in credit control software, the ledger view in debtor management for Xero, and the category page for debtor management software.

Paidnice runs every step of debtor management from your Xero ledger. Reminders, late fees, statements and escalation follow the rules you set for each customer group.
Nothing changes in Xero or QuickBooks unless a rule you set makes it happen. Paidnice connects through the official Xero and QuickBooks integrations, so we never see your accounting password.

It’s the debt collection system I’ve been looking for, for the last 15 years.
Within the first month of implementing Paidnice, we saw late customer payments decrease from over 20% to zero.

The biggest impact from using Paidnice has really been man hours for me. Just by using Paidnice, it's freed up loads and loads of time. We're talking five hours already of admin per month, and we're a scaling business. In a year, that could be 15 to 20 hours a month.

Before Paidnice, over 25% of our payments were late, which we were manually chasing up. With Paidnice automating this for us, that has dropped to less than 5%

Read the case study →Debtor management is the work of getting paid for invoices you have already issued: tracking who owes you, following up before and after the due date, applying the fees your terms allow, issuing statements and escalating accounts that stay open. Software does the same work on a schedule, for every customer.
Xero was founded in Wellington and is the most widely used cloud accounting platform for New Zealand small businesses, with MYOB also in common use. QuickBooks Online is not localised for New Zealand tax rules. Paidnice connects to Xero and to QuickBooks Online, so a New Zealand business runs it on Xero.
New Zealand collection agencies usually charge a commission on what they recover, and some charge a listing or per debt fee instead. Rates differ by agency and by the age and size of the debt, so ask for the schedule in writing. Paidnice is not a collection agency: it is software you run yourself, priced monthly.
Tools New Zealand businesses see in this category include Debtor Daddy, now CreditorWatch Collect, Debtrak, FeeSynergy Collect, iCollect and Paidnice. They split into two kinds: services that take the debt off you and chase it, and software that chases from your own ledger under your own name. Paidnice is the second kind.
New Zealand has no statutory late payment interest rate for business-to-business invoices. You can charge late fees or interest only if your terms of trade provide for them, and the amounts should be reasonable. Paidnice applies these charges automatically in Xero once they are in your terms. Our post on late fees in New Zealand covers the detail.
A few minutes. Connect your Xero organisation in one click, pick a preset automation template, and preview the actions queued against your existing invoices before anything is sent. Approve each action at the start, then let them run on schedule.
Your first 20 actions are free, with no time limit and no credit card. An action is anything Paidnice performs: an email sent, an SMS sent, an escalation created, a late charge generated. Paid plans start at NZD 109 a month excluding GST, month to month, with no lock-in.
