Every accounting system is built to produce an invoice, and then to reconcile the payment once it arrives. Xero and QuickBooks both do that well. The gap is the middle, where somebody has to notice an invoice is late and decide what to do about it, and that is still a person with a spreadsheet and a calendar reminder.
That person is usually doing four other jobs as well. So the follow-up happens late, or inconsistently, or not at all, and the customer learns that this supplier can be paid last.
Every one of those invoices went through a policy that somebody set up once and then left running. A reminder goes out before the due date. A statement lands on the first of the month. A late fee applies at day seven if that is what you set, and it goes on the ledger, so the customer's accounts payable system can see it. A customer who cannot pay in full gets offered a payment plan instead of an escalation. Statement interest is recalculated on the morning the statement is sent, so the figure the customer opens is accurate that day.
