QuickBooks Online lets customers view and pay invoices online, but it doesn't give them one standing, branded portal for every open invoice, statement, and payment plan in one place. A connected app like Paidnice adds that.

Key takeaways

  • QuickBooks Online emails each invoice with a pay-now link. Open one invoice with QuickBooks Payments switched on, and the customer can also see and pay their other open invoices at checkout.
  • That view is anchored to an invoice you send, not a permanent account page the customer can log into anytime.
  • Paying several invoices at once works only when QuickBooks Payments is enabled, which is mainly a US feature.
  • A connected app like Paidnice gives each customer one fixed link to every open invoice, a live statement, payment plans, and autopay.
  • If you only ever send one invoice at a time and the built-in pay-now link already gets you paid, you may not need a portal at all.

Does QuickBooks Online have a customer portal?

Not a standing one. QuickBooks Online emails each invoice with a pay-now link, and with QuickBooks Payments turned on a customer can see and pay their open invoices at checkout, but there is no permanent branded portal they log into at a fixed address.

Here is the part most comparisons get wrong, so I want to be precise. QuickBooks Online is more capable on the customer side than people assume, and more capable than Xero is in some regions.

When you send an invoice, QuickBooks emails it with a "Review and pay" button. Your customer opens a hosted invoice page, sees that invoice, and pays it online. If you have a payment processor connected through QuickBooks Payments, that same checkout page also shows their other open invoices, and they can select several and pay them together by card, ACH, PayPal, or Venmo.

That is genuinely useful. What it is not is a portal in the way most people mean the word. The customer reaches it by opening an invoice you sent them. There is no account page sitting at a stable link, no login, no place they can go on their own to check what they owe you next month. Close the invoice email and the door closes with it.

What the native QuickBooks customer view shows, and what it can't

QuickBooks Online can show a customer their open invoices and take payment for several at once, but only through QuickBooks Payments and only from an invoice you send. It does not offer a standing portal, self-service payment plans, autopay the customer manages, or a live consolidated statement.

This table is the honest version. It assumes QuickBooks Payments is enabled, because without it the customer only sees the single invoice you emailed.

Can your customers pay several QuickBooks invoices at once?

Yes, if you have QuickBooks Payments switched on. A customer opening one of your invoices can select several open invoices at checkout and pay them together by card, ACH, PayPal, or Venmo. Without QuickBooks Payments, native QuickBooks cannot do this.

This is the strongest part of the native experience, and it is worth crediting. For a US business on QuickBooks Payments, a customer with five open invoices does not have to open five emails and pay five times. They tick the ones they want and pay once.

Two things to hold in mind. First, it depends entirely on QuickBooks Payments being active on your account, which is largely limited to the US. If you invoice from the UK, Australia, or elsewhere, this often is not available to you, and your customers are back to one invoice at a time. Second, even where it works, the customer still starts from an invoice you sent. There is no page they can bookmark and return to on their own.

If that gap matters to you, that is where a dedicated payment portal earns its place.

How to give your customers a real payment portal

Connect QuickBooks Online to Paidnice, turn on the customer payment portal, and connect Stripe for payments. Each customer then gets one link to every open invoice, a live statement, and any payment plan you offer.

Paidnice sits on top of QuickBooks Online. You are not migrating your books or changing how you invoice. You are adding a layer that gives customers a standing place to pay. Setup runs in about 15 minutes.

  1. Connect QuickBooks Online. Authorize the QuickBooks integration from Paidnice. Your customers and open invoices sync across. No migration, no re-keying.
  2. Turn on the customer payment portal. Enable the QuickBooks customer payment portal and connect Stripe so customers can pay by card or bank transfer.
  3. Set your rules. Add your reminder schedule and statements, then use contact groups to route by customer. VIPs get a gentle nudge. Repeat late payers get the full ladder.
  4. Offer payment plans, if you want them. Switch on payment plans so a customer can spread a larger balance over installments, with autopay, instead of asking you for terms.
  5. Send. Every reminder and statement carries one link to the portal. The customer sees all their open invoices, a running statement, and any plan on offer, and pays in one place.

When you don't need a portal at all

If you only ever send one invoice at a time and QuickBooks Online's built-in pay-now link already gets you paid, a portal may be more than you need.

I would rather you spend nothing than buy a layer you won't use. Some businesses genuinely do not need this. If you send a handful of invoices a month, each customer gets one at a time, and they pay on the QuickBooks link without a second reminder, the native experience is doing its job. Adding a portal there is solving a problem you don't have.

The portal earns its place when the account is the unit, not the invoice. A customer with several open invoices at once. Larger balances that suit a payment plan. Statements that need to consolidate parent and child accounts. Or invoicing from a region where QuickBooks Payments is not available, so your customers cannot pay several at once natively. That is when one standing link starts saving everyone time.

Firm on the money, fair to the customer. A good portal is mostly the fair part: it makes paying you the easy option.

Frequently asked questions

Does QuickBooks Online have a customer portal?

Not a standing one. QuickBooks Online emails each invoice with a pay-now link, and with QuickBooks Payments turned on a customer can see and pay their open invoices at checkout. There is no permanent branded portal they log into at a fixed address. A connected app such as Paidnice adds one.

Can QuickBooks customers see all their invoices?

With QuickBooks Payments enabled, a customer who opens one of your invoices can see their other open invoices at checkout and pay several together. Without QuickBooks Payments they see only the single invoice you sent. Neither view is a permanent account page they can return to on their own.

Can you pay multiple QuickBooks invoices at once?

Yes, if the business has QuickBooks Payments switched on. The customer selects the open invoices they want and pays them in one transaction by card, ACH, PayPal, or Venmo. Without QuickBooks Payments, native QuickBooks cannot take payment for several invoices at once.

Is there a QuickBooks customer account page customers can log into?

No. The QuickBooks customer view is anchored to an invoice you send, not a login. Paidnice gives each customer one fixed link to a standing portal showing every open invoice, a live statement, and any payment plan you offer.

Does Paidnice work with QuickBooks Online?

Yes. Paidnice has a native QuickBooks Online integration and is usually live in about 15 minutes, with no migration. Payments in the portal run through Stripe, so the portal works wherever Stripe operates.
