The AI tools accountants are actually installing in 2026
Seven AI tools an accounting practice would genuinely install, with published pricing, what each connects to, and an honest limitation on every one. Includes the two that are already free inside Xero and QuickBooks.
Most accounting practices need two AI tools, not seven: a general assistant that can read the ledger and draft work, and whatever is already built into their accounting platform for free. Everything below that is a category purchase. Seven are worth knowing about, and each one has a limitation its own website does not lead with.

1. Claude, with the Xero and QuickBooks connectors
Claude is a general AI assistant that connects to live accounting data, so you can ask questions of a client ledger in plain English and get an answer with the underlying detail. It is the first thing most practices install because it is not a single-purpose tool.

2. Just Ask Xero (JAX)
Just Ask Xero is Xero's own AI assistant, built into the product and free to every Xero subscriber. Xero has said it reserves the right to change that.

3. Intuit Assist
Intuit Assist is the generative AI assistant inside QuickBooks Online, bundled at no extra published price. In 2026 it expanded under the Intuit Intelligence banner to run multi-step workflows against QuickBooks data.

4. Dext
Dext automates document capture: receipts, supplier invoices and statements become coded, publish-ready entries. It predates the current AI wave and is the most established tool on this list.

5. Paidnice
Paidnice is accounts receivable automation rather than an AI assistant, and it is on this list because it does the one job none of the assistants above can do: act on a schedule without anyone present. Reminders, late fees, statements and escalation run under rules you set, whether or not somebody opened the ledger that morning.

Karbon is practice management with an AI layer called Kai built in, aimed at firms rather than at a single business. It summarises and drafts client email and runs agents against firm workflows.

How to choose between them
Work down this order and most practices stop after step two.
- Turn on what you already pay for. Just Ask Xero if you are on Xero, Intuit Assist if you are on QuickBooks in the United States. Neither costs anything extra.
- Add one general assistant. Claude with the relevant connector covers reading, analysis and drafting across every client, and Skills make the method repeatable.
- Buy a specialist only for a job that repeats daily. Document capture at volume justifies Dext. Chasing invoices on a schedule justifies accounts receivable automation.
- Treat platform purchases as platform purchases. Karbon and Basis replace your practice management layer rather than sitting alongside it, so evaluate them against your existing platform, not against the tools above.
Two numbers are worth holding while you shop. BambooHR surveyed 1,608 desk workers and found only 35 per cent of the time spent using AI is productive, and Avalara found just 7 per cent of 1,505 finance leaders put governance ahead of deployment speed. Buying faster is not the constraint.

The mistake we see most often is buying a specialist tool to solve a problem a written procedure would fix for nothing. Before any of these, write down how your firm already does the job. Most practices find the procedure does most of the work, and writing it down costs an afternoon.
