Are Xero's built-in reminders enough for chasing invoices?

Xero's built-in reminders are enough when a few invoices a month go overdue and the same five emails suit every customer. They stop being enough when the overdue list grows or one customer needs different handling.

Xero's invoice reminders give you up to five automatic email stages on one organisation-wide schedule, each a set number of days before or after the due date. Three are on by default, at 7, 14 and 21 days after the due date, sent daily between 4am and 8am in the organisation's time zone, per Xero Central.

Three limits follow from that design.

  • One schedule for the whole Xero organisation. You can switch reminders off for a contact or an invoice, but you cannot give a 60-day account a different sequence from a 14-day one.
  • Email only. Xero can send an invoice by SMS as a one-off, but the automatic reminders are email only.
  • Nothing after stage five. There is no sixth step, no change of tone, and no action at 60 or 90 days beyond what the five stages already sent.

Xero has no native late fee or interest feature either. The request to add interest to late invoices was posted on the Xero product ideas board on 29 March 2012, has 1,114 votes, and Xero's last reply, on 7 July 2025, stated no committed plans.

What does invoice chasing software add to Xero?

Invoice chasing software adds per-customer schedules, SMS and letters beside email, reminders that keep going past stage five, and a record of every send and reply, all synced from the Xero ledger.

  • Different rules for different customers. Retainer clients and 60-day accounts get their own sequence.
  • More channels, sent under your own name. SMS on every tool below, letters and automated calls on some, with replies landing with the person who chases.
  • Escalation to a named person at 21 or 30 days, with the send history in front of them.
  • Write-back. A payment in Xero this morning stops this afternoon's reminder.

None of the four changes what the customer owes, which is where the tools split.

Chasing vs enforcement: which tools apply fees and interest?

Paidnice and Chaser apply late fees and interest to a Xero invoice. Credit Hound and ezyCollect chase without charging, and Satago publishes nothing on fees. Payment plans exist on Paidnice, Chaser and ezyCollect.

A reminder is a request. A late fee posted to the ledger is a receivable: it enters the customer's accounts payable, their aged creditors and their payment run.

In the UK the entitlement exists already. Statutory interest on a B2B debt is 8% above the Bank of England base rate, 11.75% with the base rate at 3.75%, plus fixed compensation of £40, £70 or £100 per invoice by size, under gov.uk guidance.

In the US the Prompt Payment Act covers government contracts only, so a private B2B rate must sit in your terms before you invoice.

"Not published" means the vendor documents nothing either way. "No evidence found" means the vendor's own feature lists and help pages were checked and the function is absent.

Chaser: one of the oldest names in UK credit control, chasing by email, SMS, posted letters and automated text-to-speech calls with Creditsafe credit checks, priced on annual revenue from £199 a month up to £4m.

Emails go from your own Gmail or Outlook mailbox, escalated debt routes to a partner collection agency, and Chaser Care is its own debtor chasing service. Late fees and interest are one global rule that cannot vary by customer group, and they skip payment plan and part-paid invoices. Plans for firms past £4m are £599 and £899 a month, with a demo before you can buy.

Satago

Satago: UK invoice chasing with credit reports and single-invoice finance in the same subscription, best for businesses that want to vet, chase and fund, from £45 a month.

Basic at £45 covers 100 email reminders a month with 25 credit reports; Premium at £80 adds unlimited email and 100 SMS a month. Inside Sage 50 the same product starts at £25. Late fees, interest and payment plans are not described in its public materials.

Credit Hound

Credit Hound: automated collection paths with dispute and promise-to-pay tracking for Sage and Xero, best for a credit control team that chases by hand today, from £51 a month for the first user on Xero.

It chases; it does not charge. No late fee, interest or payment plan function appears in the vendor's documentation, there is no QuickBooks Online connector, and each extra user on Xero is £35 a month.

ezyCollect

ezyCollect: Australian chasing by email, SMS, mail and call tasks with payment plans and a pay-now portal, best for mid-market businesses where the ledger is MYOB or an ERP as well as Xero, from A$275 a month on an annual contract.

Setup is A$900 and monthly billing adds 20%. Payment plans are enabled by support. No late fee or interest automation appears anywhere in its help centre.
