Upflow pricing and alternatives in 2026: revenue bands, Payments fees and five options

Contents

Upflow pricing and alternatives in one page: the last published list prices were $440 a month for Grow and $880 a month for Scale. Every paid tier is now quoted by annual invoiced revenue, seats are unlimited, and Payments is $390 a month plus fees.

Key takeaways

  • Upflow no longer prints a subscription price. Five paid tiers (Starter, Grow, Scale, Accelerate, Enterprise) are quoted by annual invoiced revenue, from up to $10m to over $100m (Upflow pricing page).
  • The last published list prices were $440 a month (Grow) and $880 a month (Scale), or $400 and $800 a month on annual billing.
  • Seats are unlimited on every tier. Revenue band and invoice volume set the bill, headcount does not.
  • Upflow Payments has a printed price: $390 a month platform fee, cards at 3.5% plus $0.30, ACH at 0.8% capped at $5.
  • Five alternatives span quote-only enterprise suites to $69 a month (£49) for a $1m to $20m business, and only two of them compute late fees.

Upflow's pricing tiers

Upflow sells five paid tiers set by annual invoiced revenue, all quote-only, plus a free analytics tier. The last published list prices were $440 and $880 a month.

The tier names, revenue bands and invoice caps are Upflow's own (Upflow pricing page). The $440 and $880 figures were the list prices on the previous Grow and Scale tiers, when Grow covered businesses up to $10m in revenue and Scale covered $10m to $50m. No paid tier carries a published price today.

What drives an Upflow bill

Upflow bills on six variables. Revenue band sets the tier, invoice volume caps it, and the $390 a month Payments add-on is the only line with a printed price.

  1. Annual invoiced revenue. The tier is set by how much you invoice a year, from up to $10m on Starter to over $100m on Enterprise. Growth moves you up a band, and up a quote.
  2. Invoice volume. Each tier carries a yearly invoice cap: 40,000 on Starter, 100,000 on Grow, 200,000 on Scale, 300,000 on Accelerate and 700,000 on Enterprise (Upflow pricing page).
  3. Seats. Unlimited on every tier. Adding a credit controller costs nothing extra.
  4. Payments add-on. $390 a month on any tier, plus 3.5% and $0.30 per card payment, and 0.8% per ACH payment capped at $5. A Payments Lite option routes through a third-party gateway for a smaller fee.
  5. Contract term. The last published annual prices were about 9% below monthly ($400 against $440, $800 against $880). Whether a 2026 quote carries the same discount is a question for the sales conversation.
  6. Channels. Email, SMS and letter actions send automatically. Call and task actions are assigned to a person.

What three business sizes pay a year

At the last published Upflow list prices, a $2m or $8m business paid $5,280 a year for the platform and a $20m business paid $10,560, before Payments fees.

The examples use the last published prices on the bands they applied to: Grow at $440 a month for businesses up to $10m, Scale at $880 a month for $10m to $50m. Payments fees assume an average invoice of $2,000 and every invoice paid through Upflow Payments by ACH. Your quote will differ; the arithmetic shows where the money goes.

BusinessPlatform (last published)Payments platform feeACH fees at the $5 capTotal a year
$2m revenue, 1,000 invoices$440 × 12 = $5,280$390 × 12 = $4,6801,000 × $5 = $5,000$14,960
$8m revenue, 4,000 invoices$440 × 12 = $5,280$390 × 12 = $4,6804,000 × $5 = $20,000$29,960
$20m revenue, 10,000 invoices$880 × 12 = $10,560$390 × 12 = $4,68010,000 × $5 = $50,000$65,240

Two things stand out. The platform subscription is the small number: $5,280 to $10,560 a year at the last published prices. And the ACH cap matters. A $2,000 invoice paid by ACH would cost $16 at 0.8%, but the $5 cap holds it to $5, so an ACH-heavy business pays a flat $5 an invoice.

Card payments carry the higher rate, 3.5% plus $0.30 per transaction, with no cap. A $2,000 invoice paid by card costs $70.30 in fees against $5 by ACH. Payments Lite exists for teams that want a cheaper gateway.

Is Upflow worth the price

Upflow earns its quote for finance teams that manage collections by metric and want unlimited seats; users rate it 4.8 from 233 reviews on G2. It overcharges teams that need fees, interest or payment plans applied.

Teams that manage collections by metric: countback DSO against best-possible DSO, collection effectiveness, at-risk balances over 90 days, cash forecasting by billing cohort.Teams that need late fees or interest computed. Upflow's documentation points you to applying them in the ERP.
Finance teams on NetSuite, Sage Intacct, Stripe Billing or Chargebee with several people chasing, since seats are unlimited.Teams that need payment plans. There are none beyond a customer choosing to pay part of a balance.
Businesses that want a branded portal with Autopay and automatic cash application in the same tool.Teams that chase at more than one time a day. Automatic actions fire once a day, on business days only, at a fixed time.
Businesses that want a free analytics tier before committing to a quote.Teams sending through their own SMTP, which switches off open and click tracking.

On QuickBooks Online the sync is one-way and polled every five minutes, with payments landing in Undeposited Funds for manual reconciliation. A business under $10m on QuickBooks or Xero that needs terms enforced automatically is paying a revenue-band quote for reporting depth and still applying fees by hand.

Upflow pricing and alternatives compared

Five Upflow alternatives run from quote-only enterprise suites to $69 a month (£49). Two are quote-only, Kolleno charges $650 a user, Chaser starts at £199 a month (about $259) and Paidnice is priced by invoice volume.

The options are ordered by the size of business each one is built for, largest first. Each block gives the entry cost in the currency the vendor bills in, with US dollars in brackets where the vendor bills in pounds.

Paidnice: best for $1m to $20m businesses on Xero or QuickBooks Online

  • Fits: Finance teams between $1m and $20m a year that want reminders, statements and escalation running automatically, with late fees and interest as optional leverage.

  • Limitation: ERP connections are on the Custom plan only, from $999 a month (£749), and it is not built for an enterprise collections floor.

How Paidnice prices the same job

Paidnice is priced by invoice volume, not revenue, with unlimited users on Pro. Plans run from $69 a month (£49) to $799 a month (£599), and a $1m to $20m business usually sits between Pro 300 and Pro 2,000.

The pricing unit is the number of invoices Paidnice chases each month, which is the work it does. Revenue never enters the calculation, so a business that grows from $5m to $15m on the same invoice count pays the same. Essentials covers 150 invoices and two team members; every Pro plan includes unlimited users. Full detail is on the Paidnice pricing page.

Pro 4,0004,000$799£599Unlimited
Custom4,000+From $999From £749Unlimited

Every plan includes automated email and SMS reminders, automatic statements, escalation workflows, a customer payment portal and payment plans through Stripe. Late fees and statement interest are optional policies you switch on per customer group, with the fee posted to the ledger in Xero or QuickBooks. SMS messages are $0.10 each (£0.05). There are no contracts or lock-ins.

The $8m business from the worked example above, sending about 330 invoices a month, would sit on Pro 600 at $179 a month (£129), or $2,148 a year (£1,548), with as many users as the finance team needs.

💡 Paidnice insight

Revenue-band pricing charges you for getting bigger. Invoice-volume pricing charges you for the chasing that happens. Our customers cut their average wait for payment in half within 30 days. Late fees and statement interest post to the ledger as an invoice, so they enter the customer's payables and payment run.

Upflow pricing questions

Upflow publishes one price, the $390 a month Payments platform fee. These are the answers to the questions finance teams ask before requesting a quote.

How much does Upflow cost per month?

There is no published monthly price for any paid Upflow tier. The last published list prices were $440 a month for Grow and $880 a month for Scale. Today Starter, Grow, Scale, Accelerate and Enterprise are all quoted by annual invoiced revenue (Upflow pricing page).

Does Upflow have a free plan?

Yes. The Discover tier is free and gives you AR analytics and insights without collections automation.

Is Upflow priced per user?

No. Seats are unlimited on every tier. The tier is set by your annual invoiced revenue and capped by invoices a year, from 40,000 on Starter to 700,000 on Enterprise.

What does Upflow Payments cost?

$390 a month as a platform fee on any tier, plus 3.5% and $0.30 for each card payment and 0.8% for each ACH payment, capped at $5. A Payments Lite option through a third-party gateway carries a smaller fee.

Which Upflow alternative is cheapest?

Of the five options above, Paidnice has the lowest published entry price at $69 a month (£49), then Chaser at £199 a month (about $259), then Kolleno at $650 per user a month. Quadient AR and Growfin do not publish prices. The cheapest tool is only the right one if it runs on your ledger and applies the fees you need.
