How Xero's invoice reminders work

Xero holds one reminder schedule at organisation level. You can have up to five reminders in it, and Xero sets three of them up for you when you first turn the feature on. Every reminder fires against every invoice marked as sent.

Each reminder goes to the primary person on the contact plus anyone with "Include in emails" selected. The only balance control is a checkbox, Don't send reminders for amounts owing on an invoice under, and Xero applies that setting to all reminders. Xero's own setup article tells readers to search the Xero App Store for apps that allow more advanced invoice reminder options.

How Xero picks the people who get a reminder

Xero picks reminder recipients from the contact record, never from the invoice. Anyone on that contact with "Include in emails" selected gets every reminder for every overdue invoice, whichever department placed the order.

The setup that causes it is a sensible one. A customer has three departments, so it has one Xero contact, with the budget holder of each department added as a person on it. Xero allows up to five people on each contact in addition to the primary contact, and you tick "Include in emails" on each so they are included when you email that contact.

Then Marketing's invoice goes overdue. The reminder fires and Xero sends it to the primary person, to Marketing, to Operations and to Finance. Xero's own article says reminders go to the primary person and any additional people with "Include in emails" selected, and it describes no per-invoice exception.

The invoice itself does not change that. You choose who receives an invoice on the day you send it, so Marketing's invoice can go to Marketing alone. The reminder a week later reads the contact record instead, and the contact record says everyone.

Figures read on 3 September 2026. The thread absorbed the merged idea "Option to change who reminders are sent to". A commenter describes the workaround in use today: leave the address on the contact, switch reminders off, and keep a note to send them by hand. One comment on the thread, dated 15 February 2023, states the case directly: "We sell to different departments in a company".

A narrower request, to send reminders only to the people the invoice originally went to, was posted on 26 October 2022 and holds 9 votes at "Submitted" with no reply from Xero, checked 3 September 2026. Neither thread offers a date to plan around.

Two ways round it inside Xero, and the price of each

You can give each department its own Xero contact, or keep one contact and change the "Include in emails" ticks before each send. The first routes reminders correctly and splits your view of the customer. The second depends on someone remembering.

The first workaround is correct where it matters. Each department record carries its own primary person and "Include in emails" list, so Marketing's reminders reach Marketing. The cost is the roll-up: the statement, the credit limit and the line on the Aged Receivables report all belong to one contact record.

Part of that is recoverable inside Xero. The Aged Receivables Summary can group by Contact Group, so a group named after the company gives you a subtotal on the report. It cannot give you one statement or one credit limit.

The second workaround keeps one record and edits it before each send. You tick Marketing and untick everyone else, and the ticks stay that way until somebody changes them, so Operations' invoice next week goes out under Marketing's settings. The version on Xero's ideas board, reminders off and sent by hand, is where this usually ends up.

A department is a separate debtor

A department with its own budget holder, its own purchase orders and its own approval is a separate debtor in everything except the company name. A Xero contact per department is the accurate model, and the split view is the only defect in it.

The reason a reminder needs a different address is that a different person controls the money. The purchase order and the approval both sit inside the department, and so does the answer to "when will this be paid". A reminder that lands with Operations for an invoice Marketing ordered has reached nobody who can act on it.

What you lose is the roll-up, and that is a reporting problem. One statement, one total and one limit for the company can be added on top of department-level records. Editing "Include in emails" before every send cannot be made reliable.

Set the filter before the first run

Set the parent-only filter on the statement policy before the first statement goes out. Without it, each department receives a statement as well as head office, and four documents describe one balance.
