Works with Xero QuickBooks

Every account gets chased, patients gently, employers firmly.

Email and text reminders go out on the schedule you set, to the patient or to the person who pays the bills at each corporate account, from your own domain.

Late fees, interest or early payment discounts, set per contact group, so self-pay patients stay exempt. In the US, self-pay patients must get a good faith estimate of expected charges 1 to 3 business days after scheduling, depending on how far out the visit is (45 CFR 149.610).

"We saw a great improvement in the average time to pay across all clients and the subscription cost is more than covered by the interest generated, so it pays for itself."

Keep the practice management software your team already runs.

Paidnice does not book appointments or replace your practice management software. It picks up what has already reached your accounts. It works alongside Cliniko, Halaxy and Zanda (formerly Power Diary) on Xero.

How it works for healthcare providers

Does Paidnice work with Cliniko, Halaxy or Zanda?

Many healthcare providers we work with invoice from Cliniko or Halaxy, which push invoices into Xero, or from Zanda (formerly Power Diary), which exports them into Xero. Paidnice reads each invoice from the ledger. Paidnice chases the invoices a practice raises in Xero or QuickBooks Online, such as self-pay, corporate and third-party accounts; it does not process insurance claims.

Can a health clinic charge late fees or interest?

Health clinics often have account forms and corporate agreements that promise a late fee or interest on overdue balances, rarely applied in practice. Paidnice applies the rate you set, on the schedule you set, and shows the calculation on the statement. Rules on maximum rates vary by state and country, so check what your terms and your state allow, and set the rate to match.

Can one employer with several sites get one statement?

Clinics that do occupational health often invoice one employer across several sites or departments. Paidnice rolls those into one consolidated parent statement: every site, every open invoice, and the interest on the past-due balance, in one file emailed to their accounts payable. They reconcile one document, and your practice manager sends none of them by hand.

What happens when a patient queries one invoice?

Patient accounts sometimes carry one invoice that is being queried, and that should not stall the rest. Take that invoice out of the policy by its number and the rest of the account keeps its normal schedule: reminders, the statement and any fee carry on without the queried line.

Will patients feel chased?

Patients get the gentle version. Set a policy for self-pay accounts that sends a polite reminder and a monthly statement with a pay button, while corporate and third-party accounts get the full ladder up to a call task. Every email comes from your own domain, so it reads as your front desk following up.

What does Paidnice cost for healthcare providers?
