Every tuition invoice gets chased, from the deposit to the final installment.

Your finance office sends nothing by hand: email and text reminders go out on the schedule you set, to the student or sponsor who pays the fee, from your own domain.

★★★★★ We deal mostly with large b2b where our invoices often go missing during the approval process. Paidnice automates our outreach and statements allowing us to be paid much faster.

Sponsors get one statement for every student they fund.

An employer or scholarship trust paying for three students gets one consolidated statement. It goes out on the day you choose, with the interest on the overdue balance recalculated at send.

★★★★★ The time-consuming task of chasing debt and sending statements is now a thing of the past, as everything is handled automatically.

One payment for tuition, materials and fees together.

Students pay every open invoice at once on your own branded portal, by card or ACH, from the pay button on every reminder and statement, or set up an installment plan.

★★★★★ Really saved us time in helping customers settle multiple part paid Xero invoices in a single Stripe payment.

The terms in your enrollment agreement, actually applied.

Late fees, interest or discounts are set per group, so students keeping to a plan are not charged. In Australia, a college generally must not take more than 50% of an overseas student's tuition fees before the course starts (Department of Education).

★★★★★ We saw a great improvement in the average time to pay across all clients and the subscription cost is more than covered by the interest generated, so it pays for itself.

Know which students to call before the next term starts.

Your finance office gets a task only when reminders run out, with the payer's balance, average days to pay and rating attached.

★★★★★ Paidnice has been exactly what we were looking for to help address the ongoing challenge of past-due invoices.

Keep the student management system your team already runs

Nothing changes about how you enroll or bill. Paidnice works alongside aXcelerate and VETtrak on Xero and chases the tuition invoices that reach Xero, or that a college raises in QuickBooks Online; it does not replace your student management system.

How it works for colleges

Does Paidnice work with aXcelerate or VETtrak?
Colleges raising tuition invoices in aXcelerate or VETtrak keep that setup: both send invoices into Xero, and Paidnice reads the invoice from there. Nothing changes about how you enroll or bill students; Paidnice only needs the invoice to land in Xero or QuickBooks Online.
Can a college charge late fees or interest on unpaid tuition?
Colleges can apply the late payment clause already in their enrollment agreement, and Paidnice applies the rate you set, on the schedule you set, with the calculation shown on the statement. Student protection rules vary by state and country, so set the rate to match your agreement and local rules.
Can students pay tuition in installments?
Colleges can split one tuition invoice into installments with a payment plan: Paidnice moves the invoice due date to the next installment, reminds the student before each payment date, and can charge a saved card or bank account when Stripe is connected. A missed installment makes the invoice overdue again, so normal reminders and late fees apply from that date.
Can an employer paying for several students get one statement?
Colleges billing an employer, agency or scholarship trust for several students can send one consolidated sponsor statement: every funded student, every open invoice and the interest on the overdue balance, in one file emailed to the sponsor. The sponsor reconciles one document, and your finance office sends none by hand.
Will reminders upset students partway through a course?
Colleges keep students on side by setting a different policy per group: students on an agreed plan might get a gentle reminder before each installment, while overdue balances get the full ladder up to a task for your finance team. Every email comes from your own domain, so it reads as your student finance office following procedure.
What does Paidnice cost for colleges?
Colleges pay from US$69, £49 or A$99 a month on Essentials, priced by invoice volume, not revenue. There are no contracts, and your first 20 actions are free. Installment plans need the Pro plan.

Stop carrying unpaid term fees into the next term.

Connect Xero or QuickBooks and Paidnice prepares draft policies for you. Nothing runs until you approve them.
