For training and coaching businesses on Xero or QuickBooks Online, Paidnice chases every course invoice before the start date, takes the payment and adds the late fee to the statement.
No credit card. Your first 20 actions are free.
Email and text reminders go out on the schedule you set, before and after the due date, to the person at the employer who actually pays the bill, from your own domain.
"We deal mostly with large b2b where our invoices often go missing during the approval process. Paidnice automates our outreach and statements allowing us to be paid much faster."
Statements go out on the 1st with the late fee on the past-due balance recalculated at send. An employer booking seats for several teams gets one consolidated statement.
"The time-consuming task of chasing debt and sending statements is now a thing of the past, as everything is handled automatically."
Every reminder and statement carries a pay button, and the employer's accounts payable team pays the deposit, the balance and the coaching retainer on your own branded portal at once.
"Really saved us time in helping customers settle multiple part paid Xero invoices in a single Stripe payment."
Late fees, statement interest or early payment discounts, set per customer group, so corporate accounts stay exempt. In the UK, training sold by a provider that is not an eligible body is standard-rated for value added tax (VAT) unless an approved government scheme funds it (HMRC VAT Notice 701/30).
"We saw a great improvement in the average time to pay across all clients and the subscription cost is more than covered by the interest generated, so it pays for itself."
When reminders run out, it escalates to a call task or a credit hold, with the payer's balance, average days to pay, and rating attached.
"Paidnice has been exactly what we were looking for to help address the ongoing challenge of past-due invoices."
Paidnice does not take bookings or replace your course booking software. It picks up what has already reached your accounts. It works alongside Arlo and accessplanit on Xero, and any booking tool that raises its invoices in Xero or QuickBooks Online.

It’s the debt collection system I’ve been looking for, for the last 15 years.
Many training providers we work with take bookings in Arlo or accessplanit. Those systems push the invoice into Xero, and Paidnice reads it from there. Nothing changes about how you schedule, enrol or invoice. Paidnice only needs the invoice to land in your ledger, which those integrations already do.
Training and coaching businesses often print a late fee or interest clause on the booking form that never gets applied. Paidnice applies the rate you set, on the schedule you set, and shows the calculation on the statement. Rules on maximum rates vary by state and country, so check what your terms and local law allow, and set the rate to match.
Course invoices are usually due before the first session, so set the reminder schedule to start ahead of the due date. Paidnice sends the pre-due reminder, the due-date reminder and the overdue ladder from your own domain, and the employer pays the deposit or the balance from the link in each one.
Training providers deal with cancellations and transfers, and one credited booking should not stall the whole account. Your booking system raises the credit note in the ledger and Paidnice picks up the new balance. Take a disputed invoice out of the policy by its number and the rest of the account keeps its normal schedule.
Coaching packages billed monthly are recurring invoices in Xero or QuickBooks, and Paidnice treats each one the same way: a reminder before the due date, a statement on the 1st, and the late fee you set if it goes past terms. A client with three months unpaid gets one statement and one pay link for all three.
Training and coaching businesses pay from US$69, Β£49 or A$99 a month on Essentials, priced by invoice volume, not revenue. There are no contracts, and your first 20 actions are free.
