"Paidnice removes the need for business owners to manually check invoices to ensure late fees are added correctly. You just need to set it up once, and then let it do its thing."

Keep the route software you already run.

Paidnice does not raise invoices or replace your route software. It picks up what has already reached QuickBooks or Xero.

  • You bill the route as usualMonthly in arrears, from whatever you already use
  • Invoices land in QuickBooks or XeroOne click to connect, nothing to move over
  • Paidnice takes it from thereChasing, statements, payment, late fees
It’s the debt collection system I’ve been looking for, for the last 15 years.

How it works

Does Paidnice work with Pool Brain or Jobber?

Pool service companies usually run the routes in Pool Brain or Jobber and let those apps push invoices into QuickBooks Online. Paidnice reads QuickBooks or Xero, so anything that lands there gets chased, no extra setup. One caution: Skimmer Billing only sends an invoice to QuickBooks after it is paid, so unpaid Skimmer invoices never reach the ledger and Paidnice cannot see them.

Can a pool service company charge late fees?

Pool service companies in the US and Australia can generally charge late fees when the service agreement spells them out, and many states cap the rate, so check yours or ask your accountant. Paidnice handles the mechanical part: it applies the fee or interest you set, on the schedule you set, and shows it on the invoice and statement. It never decides the rate for you.

How does Paidnice know which invoices to chase?

Pool routes billed through QuickBooks or Xero are already visible to Paidnice, whether you invoice in the ledger directly or sync from route software. It watches due dates and sends reminders, statements, and late fees by the rules you set. Pay an invoice, and the chasing for it stops on its own. Nothing is uploaded or retyped.

Will it chase 800 homeowners without spamming them?

Pool customers each follow the schedule for their group, so a homeowner might get one friendly text and one email a month while a commercial account gets a formal statement. You set the tone, the timing, and the sender, and everything goes from your own domain under your company name. Start in approval mode and review every send until you trust it.

What happens when an owner disputes one invoice?

Pool service disputes usually touch one invoice, not the account. Pull that invoice out of the chasing by its number and the reminders, statements, and interest carry on for everything else they owe. When you settle the question, put it back and the schedule picks it up where it left off.

Do my customers need a login to pay?

Pool customers get a link, not a login. Every reminder and statement carries a button to a branded page showing everything they owe, and they pay by card or ACH in one transaction that matches back to QuickBooks or Xero automatically. They can also set up autopay there, which stops the same accounts going overdue every month.
