Credit control and collections software for NetSuite (2026)

Summary

NetSuite is a strong ledger, but its collections tools are basic. Dunning needs a separate SuiteApp, runs on fixed letter levels, and stops when the customer replies. A credit control tool adds the human side: reading replies, chasing by SMS and post, statements on a schedule and easy ways to pay. Pick the tool for the job your team finds hardest.

  • Paidnice: Best for teams that want the whole chase handled. Paidnice reads each reply with AI and drafts the answer for a person to approve, pauses until the promised date, and posts late fees as NetSuite invoices. Credit checks through your Creditsafe API connection, on the Custom plan.
  • Kolleno: Best for groups over £100M turnover whose hardest job is matching payments to invoices. Its strength is cash application, with credit scoring built in. Price on request.
  • Upflow: Best for mid-market teams invoicing $25M or more a year that want deep AR reporting: DSO, collection rate and cash forecasts by team or country. Price on request.
  • NetSuite on its own: Credit holds, statements, a payment portal and finance charges come included. You run finance charges by hand, and the SuiteApp sends 100 letters per queue with no bounce detection.

Paidnice connects to your ERP on the Custom plan. Book a demo on your own data, and a specialist sets up the connection.

What does NetSuite include for credit control by default?

NetSuite's standard documentation covers credit limits with an Auto hold, finance charges, statements with aging, collection letters and a Customer Center for online payment. Scheduled dunning levels need a SuiteApp.

The Oracle help pages cited below name no edition requirement. Finance charges have one limit: assessment is a manual step, once per customer per day.

The Customer Center needs three switches (Customer Access, Credit Card Payments and the "Customers Can Pay Online" preference), plus a Customer Center role per customer. The Auto credit hold triggers on the credit limit or on days overdue, and a parent's limit does not roll up its subcustomers.

What needs an add-on in NetSuite?

Scheduled dunning in up to 15 levels needs the Dunning Letters SuiteApp (bundle 392827), bought through your NetSuite account representative. NetSuite Pay is Oracle's SuiteApp for card payments through Payment Link and the Customer Center.

Dunning Letters SuiteApp

Cost: Oracle's page states no price; bought through your account representative. Needs: seven account features, Multiple Currencies and Multi-Language among them, plus the License Client SuiteApp (prerequisites).

Procedures of up to 15 levels (limits), each set by days overdue and amount.

Multi-language templates, sent by email or queued as PDF. Pause and resume per customer or invoice, with a dunning dashboard.

NetSuite Pay

Cost: Oracle's page shows no fee. It describes the pricing as simple and transparent and points to the NetSuite Pay Overview dashboard. Needs: the SuiteApp install and a merchant application approved by Versapay underwriting.

Payment Link

Cost: Oracle's page does not say whether it costs extra. Needs: Payment Instruments, payment methods, a processing profile per gateway, DKIM and email and invoice templates.

An email with a link or QR code to a hosted payment page, with optional partial payment.

The Install button for the Dunning Letters SuiteApp only appears once the bundle is shared with your account. Only accounts with Multiple Currencies enabled can use it. Sources: Oracle, installing the SuiteApp and dunning limits.

What does the Dunning Letters SuiteApp still miss?

The SuiteApp emails letters on a schedule and stops at the send. It cannot generate PDFs automatically, sends 100 letters a queue and cannot detect a bounce. Oracle describes no SMS, promise to pay or reply handling.

  • No automatic PDF letters. Oracle states that automatic generation of PDF dunning letters is not supported. Printed letters come from the Dunning PDF Printing Queue, downloaded by hand. Source: Oracle, sending dunning letters.
  • 100 letters a queue, no bounce detection. The print queue and the manual email queue send 100 letters at a time. The SuiteApp cannot detect a bounced email, and only posting invoices are evaluated. Source: Oracle, dunning limits.
  • A schedule an admin keeps running. Evaluation workflows run on a schedule an administrator sets up. Whether a letter emails itself or waits in the manual queue depends on the procedure's preference. Source: Oracle, sending dunning letters.
  • Replies land in a shared inbox. Consultancy Anchor Group writes that replies arrive with no routing, classification or pause trigger. Oracle's dunning overview describes no SMS channel, promise to pay or dispute handling. Source: Anchor Group, dunning guide.
  • Finance charges by hand. Run them under Transactions > Customers > Assess Finance Charges, once per customer per day. A charge nobody runs never reaches the statement. Source: Oracle, finance charges.
  • Nothing after level 15. A procedure holds at most 15 levels. Source: Oracle, dunning limits.

The letters sit on NetSuite's dunning dashboard and the replies sit in the shared inbox, so the chase and the conversation live in two places.

Where Paidnice fits: if you want to...

Paidnice takes the jobs the SuiteApp leaves after the send. It reads the reply, holds the run to a promised date, posts fees as invoices, sends SMS and posted letters, and hands stuck accounts to an owner.

Paidnice is good for you if you want to:

  • Read every reply without a shared inbox. Paidnice reads the reply and drafts the response, and a person approves it before anything sends. A promised date becomes the expected payment date, and chasing pauses on that invoice or contact until it passes.
  • Post fees as NetSuite invoices from a policy. Where the SuiteApp needs a daily manual assessment, late fees and interest post to NetSuite as invoices, Draft or Approved. UK base-rate interest (3.75% since 18 December 2025) is indexed automatically. A fee on the ledger lands in the customer's payment run, which is the leverage.
  • Send SMS and posted letters on the same schedule. Where the SuiteApp queues printed letters 100 at a time for a person to download, Paidnice prints and posts them. Email and SMS reminders and posted letters run per customer group.
  • Hand the account to a named owner after the last level. Where the SuiteApp ends at level 15, escalation workflows open a task for the account owner with the record of every chase.
  • Stop chasing the moment NetSuite says paid. The sync is instant: a payment posted in NetSuite stops chasing straight away.

Paidnice customers cut their average wait for payment in half, within 30 days. NetSuite runs on the Custom plan.

How to choose credit control software for NetSuite

Ask each vendor six questions. Each one maps to a control NetSuite or the Dunning Letters SuiteApp documents or leaves out.

  1. Does a payment posted in NetSuite stop the chase? A sync that reads invoices, payments and credit notes as they post is the baseline.
  2. Do letters send without a person opening a queue? The SuiteApp's print and manual email queues take 100 letters at a time. Ask for email, SMS and post on one schedule, with bounces you can see.
  3. Does a reply with a date pause the sequence? The SuiteApp pauses per customer or invoice, by hand. Look for a promised-date field that holds chasing until the date passes.
  4. What happens after level 15? Ask for an escalation ladder that hands the account to a named owner with the record of every chase.
  5. Do fees post as invoices in NetSuite? NetSuite assesses finance charges by hand, once per customer per day. A fee raised as an invoice keeps the NetSuite balance equal to what the customer owes.
  6. Who runs the implementation? Anchor Group puts a SuiteApp deployment at 4 to 6 weeks. Ask for a named specialist before you sign.

See Paidnice on your NetSuite ledger

A Paidnice demo on your NetSuite ledger shows which overdue accounts it would chase first and how dunning levels become reminder schedules. It also shows a posted payment stopping the chase.

Book a demo with your own NetSuite customers and procedures. An implementation specialist sets up the connection on the Custom plan after the demo. Customers cut their average wait for payment in half, within 30 days.

NetSuite credit control: common questions

Short answers on what NetSuite includes by default, what the Dunning Letters SuiteApp sends and charges, which channels it covers, and how Paidnice connects.

Does NetSuite send dunning letters automatically?

Yes, with the Dunning Letters SuiteApp. A scheduled workflow emails letters in up to 15 levels, triggered by days overdue, a minimum amount or the total overdue balance. Printed letters are manual: they come from a queue that sends 100 at a time. Without it, NetSuite's standard documentation covers collection letters in bulk or one by one.

Can NetSuite charge late fees and interest?

Yes, as finance charges, documented in NetSuite's standard help. Charges carry an annual rate, a grace period, a minimum and optional compounding, and appear on customer statements. Assessment is a manual step, once per customer per day. Paidnice raises the same charge from a policy and posts it to NetSuite as an invoice, Draft or Approved.

Our guide covers how much you can charge for late fees.

Can NetSuite send reminders by SMS or post?

Oracle documents email and print only. Letters go by email from the scheduled workflow, or by print from the PDF queue, 100 at a time. Oracle's dunning pages name no SMS channel. Paidnice adds SMS and posted letters on the same sync.

What happens to a disputed invoice in a NetSuite dunning run?

The SuiteApp lets a user pause a customer's dunning procedure at any of its 15 levels and resume it later. A customer in dispute stops receiving letters while the query is open. The pause is manual, per customer or invoice. Paidnice logs the expected payment date from the reply and pauses chasing until that date passes.

Does Paidnice connect to NetSuite?

Yes, on the Custom plan. Invoices, payments and credit notes sync instantly. Fees post back as invoices. Reminders, SMS, posted letters, statements and escalations run on top of your dunning procedure, up to 15 levels. Setup follows the demo.
